VADA BOARD MINUTES
February 23, 2008
The VADA Board met on Sunday, Feb. 23, 2008, at the Doubletree Hotel in Charlottesville, VA. Minutes of the Jan. 27 meeting were read and approved with the following corrections: The March 16 Region I meeting will be held at the farm of Scott Hassler in Chesapeake City, MD (not VA), Robin Dannels will handle the Year End Awards and the VIP Awards, and volunteer work performed at regional events (BLM/GAIG) will count towards volunteer hours for VIP and Year End Awards.
Jessie Ginsburg reported a balance of $84,191 in the VADA accounts. The awards banquet brought in $4459.40 in gross income, enough to fund the 2008 educational grants to the chapters. The VADA chapters receive 10% of what they brought in at the silent auction unless it was less than $50.00. Central received $130.90, Charlottesville received $60.90, and Nova received $58.45. Jessie also discussed the need for retention of the VADA's records for a period of seven years for tax purposes. Jessie, Dianne Boyd and Nancy Lowey will determine the best way to handle getting records from members managing VADA activities and a method for storage. Jessie made a motion and LeeAnn Hanson seconded the motion to implement making everyone that provides a compensated service to VADA fill out a W-4 to ensure that 1099 information is accurate. The Board agreed that we will assume that volunteers will understand that they will receive 1099's for compensation over $600 and will be paid fees accordingly. VADA income taxes for 2007 have been filed. In order to avoid the risk of bad debt, Jessie will have activity managers deposit funds as they are received rather than waiting to make one deposit.
Wendy Murray, team coordinator for the Adult Team competition in August will be sending a flyer to newsletter editors and will place information on the VADA website as well. The deadline for applying to the VADA team(s) is June 15th, and July 5th is the deadline for chapter and barn teams. Casey Hobaugh is responsible for sponsorships for the Adult Team Championships and for the BLMs.
Dianne Boyd asked for input from the Board in regard to reserve championship prizes for the 2008 BLMs. The 2009 GAIG date will be voted on at the Region I meeting. Dianne Boyd and Beth Rippel will be attending that meeting.
Beth Rippel reported that the current VADA membership is 594. Robin Dannels reported that the Purple Books will be mailed out bulk mail on Saturday, March 1. VADA will split the cost of bulk mail with VADA/Nova this year. There was general discussion about distribution next year.
D&O insurance applications were distributed to each chapter president to be filled out and returned to Beth Rippel. Policy cost is yet to be determined for either VADA or the chapters. There was general discussion regarding operating costs for VADA, updating the website to include a calendar of activities, and the use of chain arenas at licensed competions. Board representatives will check on any new ruling by USDF.
Chapter News: Central chapter will have a schooling show at Sankt George Farm on March 9th, a Fix-A-Test on May 10th , and a licensed show at Aria Farm on June 15th.
SVDA's licensed show is April 27th and there will be a schooling show March 16th and each month through October except for August.
Fredericksburg `s first schooling show is May 15th and their licensed show will be held on Sept. 13th at Rosemont. They will have one to three teams competing at both the Jr. and Adult Team competitions and riders are doing fundraising to offset costs.
NOVA is celebrating its 25th anniversary this year with special prize money at shows along with special trophies. March 15th is their first schooling show with one each month through November. There will be a Linda Zang clinic at Hedgeland the weekend of May 10th. Nova's June adult camp to be held in MD is already full. They will have an un-mounted educational day on March 8th.
Charlottesville will have schooling shows on April 27th, May 17th , and Nov. 1. They are planning a Fix-A-Test for May and their licensed show Sept. 13th at Rosemont in conjunction with VADAF.
SWVADA had their annual educational Sunday at Virginia Tech on Feb. 17th, and will have a Fix-A-Test clinic on April 15 with Harriet Peterson. They will have a schooling show on April 19th and their licensed show is May 24th. All shows will be held at the Greenhill Park Equestrian Center in Salem. Their adult camp is scheduled for October at Fancy Hill.
NEVADA's first schooling show will be held on May 4th at Edgehill Farm in Aylett. Schooling shows are also scheduled for June, July, August, and October. They will not have a licensed show this year.
ShenVADA will have a Fix-A-Test in April and schooling shows in May, June, July, Sept. and Oct. There will be a Fantasy Freestyle in August at their annual county fair show.
The Board discussed and set the following dates for future meetings, all to be held at the Doubletree in Charlottesville: April 20th, June 22nd, August 24th, and November 16th.
The 2009 Awards Banquet will be held January 25th at the Doubletree iin Charlottesville. Alison Douglas will again organize the banquet. There will also be pick up points during the year for the silent auction items. Forms will be required with the items at the time of submission.
