The regular monthly meeting of SWVADA was held on Monday, 21 May 2007 at Hollywood's in Hollins, VA. President Susan Dallas called the meeting to order. Board Members Present: Susan Dallas, Sarah Denham, Gary Goodale, Gabi Hooten, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Pat Nelson, Jeanette Shires, Rebecca Splan, Nancy Stone. Board Members Absent: Ellen Aiken, Robin Jones, Annette Massey Shaw, Bob Whitehurst.
President's Report: Susan Dallas
Explained the Hokie Spirit Fund and funds being donated in memory of Emily Jane Hilscher. Memorial funds for Emily will be used for the equine program at VT in line with the wishes of Emily's parents.
VOTED to donate $100 to this fund.
Vice-President's Report: Laura Nelson
Showed the very lovely plaque SWVADA is donating to the State 4H Dressage Championships. Cost: $61.75.
Secretary's Report: Gary Goodale
Explained that additional information re: insurance as submitted by Annette Massey Shaw was added to the report posted on website.
VOTED to accept April Minutes as submitted.
Treasurer's Report: Blanche Mahoney
Explained that the 2006 check to the VA Tech Foundation was never cashed. Has been replaced.
Received $708 from insurance re: loss of SWVADA ribbons in house fire at Becky Cairns.
Checking Balance: $6425.59 / Savings Balance: $1068.93 / CD: $3120.00.
Licensed Show: Nancy Stone
The computer program is working nicely and helps communication between show manager and show secretary.
Scoring will be done on computer but will also need one tape per USEF.
Almost all classes are sponsored.
All officials have been hired.
Tee shirts will be given to volunteers, SWVADA logo mugs as prizes, and a surprise gift for each entry.
Discussed final details and possibilities for additional publicity.
Applied for Dressage Foundation Grant.
June 1st is the opening date for accepting applications for Camp. Deposit of $100 required.
Discussed possible use of VADA Grant Funds. VOTED to divide the $1600 Grant as follows: Camp - $600 toward fees and $200 to provide lunches for Auditors (Auditing is FREE) ; October Dressage Clinic - $400; Fall New Test Seminar - $400.
Discussed problems re: posting of announcements, etc.
Information should be sent to Susan Dallas. Nancy Stone will be responsible for seeing that material is then posted to website.
Green Hill: Bob Whitehurst (Susan Dallas)
New entrance to park is not completed yet.
Blanche requested we investigate purchasing 10 additional cones for the dressage rings. She will contact Jan for prices.
Points/ Awards: Ellen Aiken (Susan Dallas)
* Event managers have been very prompt at sending scores and volunteer names. Thanks!
The Volunteer List is not up to date due to technical problems with posting on website.
Show results are posted through the BREA 5/5 show.
Reported that we have many NEW members!
Will acquire World Cup DVD. (Susan Dallas attended the World Cup and reported that it was a great experience!)
VADA: Susan Dallas/ Sarah Denham
VADA is still looking at options for purchasing D&O insurance. Very costly and difficult to obtain. Tina Longacre is investigating.
Treasury: Balance of $70,000.
Clinic with Linda Zang and Stephen Clarke: Over 200 auditors attended. Clinic lost $6779.31. Everyone pleased with that figure; expected to lose more.
GAIGS: October at VHC. Next year we will have the BLM's.
Adult Team Challenge 2008 will be held on August 7-10 in Wakefield, VA. No Adult Team Challenge this year.
2008 Annual Banquet: To be held on January 27th in Charlottesville.
Re: Purple Book - Many errors re: members' information. For 2008, will use the final membership list for 2007. Please check and be sure all info is correct with membership chair before end of year.
April Show Report: Blanche Mahoney / Jeanette Shires
Not all figures in yet, but made estimated profit of between $1400 - $1500.
Had a total of 28 volunteers!
Huge show with 107 entries. Very positive comments re: Judge Nancy Lowey.

* SWVADA's original webmaster, Cortney Martin, recently earned her PhD at VA Tech. Congratulations, DR. Cortney Martin!
