The regular monthly meeting of SWVADA was held on Monday, 16 April 2007 at Hollywood's in Hollins, VA. The meeting was called toorder by President Susan Dallas. Board Members Present: Ellen Aiken, Susan Dallas, Sarah Denham, Gary Goodale, Gabi Hooten, Robin Jones, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Pat Nelson, Jeanette Shires, Nancy Stone, Bob Whitehurst. Board Members Absent: Annette Massey Shaw, Rebecca Splan. Members/Guests also Present: Janet Brown.
President's Report: Susan Dallas
Announced that the meeting would be brief as all are dealing with the tragic events at VA Tech.
Vice-President's Report: Laura Nelson
The SWVADA donated plaque for the State 4H show has been ordered.
Secretary's Report: Gary Goodale
VOTED to approve March 2007 minutes as submitted.
Treasurer's Report: Blanche Mahoney
Balance Checking: $4470.13; Savings: $1068.41/ CD: $3120.
Licensed Show: Nancy Stone/ Bob Whitehurst
TD for the show will be Karen Vinsant.
Chanticleer Catering will provide box lunches.
Prize List has been submitted to USDF.
Question re: insurance.(From Annette: No problems with the insurance. The certificates have been issued.)
Reminder that volunteers and sponsorships are needed. Forms available on website.
Entries have not started arriving yet.
Camp/Clinics: Annette Massey Shaw/ Laura Nelson/ Jeanette Shires
Will try to arrange a New Test Seminar for November.
Annette has contacted Debbie Rodriguez (Judge for the October Schooling Show), and Debbie has agreed to give a clinic on Sunday following the show. Annette has volunteered to manage the clinic. Laura will make contacts re: possible location (Green Hill is not available).
Discussed possible uses of VADA grant funds.
CAMP: Second Instructor not confirmed. (UPDATE: Liz Stacie and Debbie Bowman will be the instructors for Camp 2007.)
April Fix-A-Test had 14 very committed riders in a COLD, SNOWY, WINDY setting. The judge graciously endured the weather and was well received by participants. Thanks especially to the volunteers who gave hours on end resetting the cones and the ring, scoring, and running.
Discussed need to clarify fees: No office fee is to be charged for a Fix-A-Test. Since the entry form is also the schooling show form, there was some confusion on this. Decided to return the office fee of those who paid it.
Noted that the entry form on the website needs to be updated.
Green Hill / SWVADA Equipment: Bob Whitehurst
Work continues on the new entrance but not completed yet.
A manure dumpster is now available at the new barns; also, a wash bay is being readied. Twenty stalls are now available for use.
The equipment trailer has test copies and ribbons.
Investigating cost of a sound system that could be used for clinics at locations other than just Green Hill.
Reported that membership now totals 120.
April Schooling Show: Blanche Mahoney/ Jeanette Shires
A second ring wll be needed as rides now total 109!
Rebecca Splan has agreed to be judge for Ring 2.
Discussed the USEF rule re: number of tests that can be entered per horse. The rule states that the number of rides cannot exceed three.
