SWVADA MINUTES

January 2007

The regular monthly meeting of SWVADA was held on Monday, 15 January 2007 at Hollywood's in Hollins, VA. President Susan Dallas called the meeting to order at 7 PM. Board Members Present: Ellen Aiken, Susan Dallas, Sarah Denham, Gary Goodale, Gabi Hooten, Robin Jones, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Pat Nelson, Jeanette Shires, Rebecca Splan, Nancy Stone, Bob Whitehurst. Board Members Absent: Annette Massey-Shaw. Members/Guests Present: Janet Brown, Alyssa Leib, Christine Warden.

President's Report: Susan Dallas

  • The Annual Banquet was very successful and enjoyed by all. Many thanks to Blanche Mahoney for organizing!

  • Introductions and welcome to guests.

Vice-President's Report: Laura Nelson

  • Judges for the Licensed Show and the Schooling Shows are arranged.

  • We do not have judges for the Fix-A-Tests yet. Difficulty with dates. Also, need to consider insurance costs unless USEF judges are hired.

  • VOTED to provide up to $50 for sponsorship of a trophy to be awarded at the VA State 4-H Dressage Championships to be held at the Virginia Horse Center in the fall.

Secretary's Report: Gary Goodale

  • Minutes were sent to the Board for corrections prior to being posted on the website.

  • VOTED to accept December 2006 minutes as posted.

Treasurer's Report: Blanche Mahoney

  • Balance: $11,344.14 / Savings: $1066.83 / CD: $3120.00

  • The Silent Auction at the Annual Banquet raised funds for the Virginia Horse Center and Green Hill Park Equestrian Center. VOTED to give $800 to VHC and $800 to GHPEC.

  • Budget preparation: Ginger Edwards will meet with Blanche this week to work on the yearly budget. In order to prepare the budget, input from committees needed.

Adult Camp: Laura Nelson

  • Liz Stacie has agreed to return as an instructor. No date has been determined yet.

Educational Sunday: Ellen Aiken, Jeanette Shires

  • In addition to previously announced programs, Dr. Rebecca K. Splan will present “Showing Your Sport Horse In Hand.”

  • A Therapeutic Riding Demonstration session has been added to the program.

  • Added half hour to time schedule. There will be six sessions. (See www.swvada.org for details.)

  • Volunteers needed. Board asked to be responsible for the SWVADA table.

  • Publicity is going out; a tentative schedule has been made.

  • The brochure will include a donor's section to provide an opportunity to support Educational Sunday with funding.

Licensed Show: Nancy Stone, Bob Whitehurst

  • Information for the Omnibus is now complete.

  • Nancy attended the USDF Show Managers/Secretaries conference in Lexington, KY and gained a lot of helpful information. Many changes are in the works. USDF and USEF are working together to simplify paperwork, etc.

Young Riders: Sarah Denham

  • The YR's clinic this weekend has 25 riders and 15 auditors. There has been a very positive response to the clinic, especially from 4H members.

  • Reviewed details of plans and the luncheon SWVADA is providing.

  • Suggested that SWVADA membership applications be provided.

Membership: Pat Nelson

  • 70 current members. PLEASE send in your renewal for 2007!

  • One member did not receive USDF 2006 membership. Pat will investigate.

Hospitality: Blanche Mahoney

  • The Annual Banquet was very successful! Members from far and near (some from West Virginia), enjoyed our yearly social.

  • The Silent Auction proceeds will be divided between the Virginia Horse Center and Green Hill Equestrian Park.

Green Hill Park: Bob Whitehurst

  • A fifth barn is arriving. This will make a total of 20 stalls available for use.

  • Work is to begin on the road improvements.

VADA: Susan Dallas

  • Reminder that the banquet starts at 11AM. (This update: Due to weather, the banquet was postponed. Date TBA.)

Website: Susan Dallas for Sean Pecor

  • Sean needs a 7 day turn around time for posting anything on the website.

  • Send all website material to Susan Dallas and she will post. Exceptions: The minutes will be sent directly to Sean; all ads should be sent directly to Sean. Reminder: Classified ads are free to members. All other ads will have a fee.

  • Blanche needs to be notified by Sean the amount of ad fees to expect.

Awards Clarification

  • In keeping with the original intent and the donor's wishes, VOTED that the criteria of the McDonald Farms Amateur Rider Award shall read: “Awarded to the High Score Adult Amateur at Training Level or above, as determined by the highest median score (schooling or licensed) in a Horse of the Year division. All requirements for Horse of the Year must be met to be eligible for this award.”

Awards: Ellen Aiken

  • Material for Omnibus is complete.

  • Discussed posting of standings and problems involved in keeping standings current.

Omnibus: Susan Dallas for Dana Poleski

  • Plans are to have Omnibus ready early February.

  • A committee comprised of Susan Dallas, Gary Goodale, Beckie Mitchell, Dana Poleski, and Jeanette Shires will meet and proof read all Omnibus material.

* SHOW MANAGER NEEDED FOR THE APRIL 21st SCHOOLING SHOW. Contact Susan Dallas.

The meeting then adjourned.

NEWS/NOTES

  • Congratulations to Bob Whitehurst, the recipient of the 2006 Barcelli Award!

  • Lots of fun at the Annual Banquet; great food and great company! The Silent Auction, led by Master Auctioneer Tom Nelson, was very successful. Bidding wars broke out on several items, such as the beautiful framed Sam Savitt Dressage poster.Also very popular were a pair of red Danskos, hand made pottery, a variety basket from our West VA members, and some luscious chocolate cakes! The variety of donations included a beautiful hand knit evening shawl, jewelry, decorations, leather bags, games, etc. Something to interest everyone! Thanks to our donors for their contributions.

  • Congratulations to Maggie Shires, Border Collie, on producing 5 adorable puppies early Sunday, January 14th . Mom and pups are doing well!
