SWVADA MINUTES

The regular monthly meeting of SWVADA was held on Monday, 17 December 2007 at Hollywood's in Hollins, VA. President Blanche Mahoney called the meeting to order. BOARD MEMBERS PRESENT: Susan Dallas, Gary Goodale, Cheryl Haas, Katherine Graman, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Pat Nelson, Rebecca Splan, Nancy Stone, Bob Whitehurst. BOARD MEMBERS ABSENT: Janet Brown, Robin Jones, Shelley Stewart. MEMBERS/GUESTS also present: Bobby Dallas.

President's Report: Blanche Mahoney

  • Welcome and introductions made.

  • Distribution of folders to each board member with information re: constitution, job descriptions, and procedures.

  • Overview for year and review of volunteer needs.

Vice-President's Report: Laura Nelson

  • The following is an update on confirmed judges for the year:

  • April 5 - Fix a Test, Harriet Peterson

  • April 19- Schooling Show, Deri Jeffers

  • May 24- Licensed Show, Melissa Ashe

  • August 23- Schooling Show - Nicky Vogel

  • October 4 - Schooling Show, Judy Westenhoefer

  • Waiting on confirmation for other dates.

Secretary's Report: Gary Goodale

  • VOTED to accept November Minutes as posted.

Treasurer's Report: Bob Whitehurst

  • Current Assets: Checking - $13,483.36; Savings - $1,072.38; CD - $3,244.80

  • Total Current Assets: $ 17,800.54

  • Preparing a budget review to be presented at the January meeting. Requested that committee chairs send budget requests to him.

Adult Camp: Cheryl Haas, Marie Klimchuk, Laura Nelson

  • Board agreed to offer Adult Camp in 2008.

  • Voiced concern re: rising costs requiring an increase in camp fees and what effect this might have on camp attendance.

  • The committee will get together and decide on camp programs.

  • Prefer that Camp be held in September due to October schedule.

Clinics: Blanche Mahoney

  • Judy Gustafson and Laura Nelson have agreed to co-chair this committee.

Educational Sunday: Laura Nelson, Rebecca Splan

  • Will offer concurrent sessions this year.

  • Classroom seminars and instructional demonstrations will be offered.

  • Lunch, advertising, and other details are still in the planning stage.

Horse Show Committee: Gary Goodale, Blanche Mahoney, Beckie Mitchell, Pat Nelson

  • Will meet and update Show Manager's Handbook.

Licensed Show: Beckie Mitchell, Nancy Stone

  • The plan is to develop committees that will share the workload and involve more members.

  • Discussed need for public relations help.

Committees: Blanche Mahoney

  • The following have agreed to chair committees:

  • Insurance: Blanche Mahoney; Video Library: Gabi Hooten; JR/Young Riders: Shelley Stewart; Omnibus: Dana Poleski; Awards: Janet Brown, Pat Nelson; Points: Robin Jones; Collecting SS Labels: Laura Nelson.

  • Many committees need a chairperson and additional help. Contact Blanche Mahoney if interested.

Membership: Pat Nelson

  • Renewals are coming in. Please renew immediately as we would like a current membership list for the 2008 Omnibus.

Omnibus: ( Dana Poleski)

  • Reviewed needed updates/changes for the 2008 Omnibus. Would like to add ride times on website, available on Thursdays prior to events. Put entry forms on web.

  • Request made to put Omnibus on the website.

Hospitality: Blanche Mahoney

  • Deadline for reservations for the Annual Social and Awards Banquet is Wednesday, 9 January 2008. Contact Blanche.

Points:( Robin Jones)

  • Blanche reviewed report Ellen Aiken sent re: Points for 2007. Final results are posted.

  • $345 is the total generated by the VHC Award. This amount will be sent as a donation to VHC.

Awards: (Janet Brown) and Pat Nelson

  • Will review the trophy awards throughout the year to determine where interests lie and what awards are desired by the membership.

  • The FEI trophy will be used for the Int.1 award.

Green Hill Park: Bob Whitehurst

* Rental fee for the park will be increased $50 this year (to $300).

* Calendar dates are finalized.

* Reviewed the situation re: dragging the rings for shows. Will drag every other week through April and then the GH committee will revisit issue.

* GH Committee is looking into a PA system for entire park. A number of factors are involved such as cost, noise levels, etc.

* Suggestion that silent auction funds be designated for dragging of rings.

Equipment: Bob Whitehurst

  • Will order additional cones.

  • Has purchased a used laptop for show purposes.

Website: Nancy Stone

  • Reviewed a number of additions/updates/requests to website.

  • Request was made that Region 1 Entry Form be available on website.

  • Will create a template for schooling shows so managers can easily send info to website.

VADA: Susan Dallas

  • Meeting was cancelled due to weather conditions.

  • Banquet is Sunday, 27 January 2008 in Charlottesville. Info available on VADA website.

  • Need 2 more SWVADA members to serve with Susan as representatives to attend meetings.

New Business

  • Rebecca Splan explained the planned trip to Germany for approximately 20 VA Tech students for 2 weeks. This will be an educational program where students will have the opportunity to take lessons in dressage and jumping, attend a mare inspection, attend shows, etc. Cost per student approximately $4000. Donations are being solicited. Tabled until next meeting the motion to donate to this program (after the SWVADA budget review has been presented next month).

  • VA Horse Council Membership Renewal. VOTED to renew. Question to explore: If VADA is a member, is SWVADA already a member?

Old Business

  • Gary Goodale reported that the educational program with Judy Westenhoefer (“The View from C”) was well attended and very informative. (As an introduction, Judy shared fun stories, memories, pictures, magazines of dressage in its early years when USDF was first organized.)

  • Blanche reminded committee chairs to provide financial reports in a timely fashion.

  • Will use TBA in Omnibus if judges have not been confirmed by publishing date. Names will be provided on website when available.

  • Need Manager and Secretary for: July 5 Schooling Show; October 4 Schooling Show.
