The regular monthly meeting of SWVADA was held on Monday, 15 October 2007 at Hollywood's in Hollins, VA. President Susan Dallas called the meeting to order. Board Members Present: Susan Dallas, Gary Goodale, Gabi Hooten, Robin Jones, Blanche Mahoney, Beckie Mitchell, Pat Nelson, Rebecca Splan, Nancy Stone, Bob Whitehurst. Board Members Absent: Sarah Denham, Laura Nelson, Annette Massey Shaw, Jeanette Shires. Members/Guests Present: Janet Brown, Cheryl Haas.
President's Report: Susan Dallas
Reviewed the inquiry to list in the SWVADA Omnibus a series of schooling shows in North Carolina. Might encourage competitors from a broader area. To be discussed further.
Dana Poleski has agreed to serve as editor again for the 2008 Omnibus. Discussed possibility of taking ads to offset costs.
Secretary's Report: Gary Maupin Goodale
Update given re: status of snail mail newsletter. Will be mailed in first week of November.
VOTED to accept September 2007 Minutes as posted on the website.
Treasurer's Report: Blanche Mahoney
Checking: $12,352.41; Savings: $1071.48; CD: $3120.00
The Debbie Rodriquez Clinic had 8 riders and netted $182.00. Enthusiastic responses from those attending. (Funded partially by VADA grant.)
Suggestion made that we host a Spring and a Fall Clinic for next year.
Judy Gustafson has volunteered to help organize 2008 clinics.
Fall Seminar: Gary Goodale
Will confirm date,location, speaker. UPDATE: “The View from C” with Judy Westenhoefer will be held on Sunday, 2 December 2007 at the Roanoke County Main Library on Electric Road (Rt. 419) in Roanoke from 1:30 to 3:30 pm. Look for details in the snail mail and at www.swvada.org
Decided that the 2008 Board should make decisions re: Camp.
Blanche has contacted Fancy Hill re: possible site for next year.
Educational Sunday: Rebecca Splan
Will be held at VA Tech on Sunday, 24 February 2008.
Plans are underway and speakers are being contacted.
Annual Banquet: Blanche Mahoney
Will be held on Saturday, 19 January 2008 at the Salem Civic Center (NEW LOCATION).
Menu and costs to be determined, but will be less expensive than last year.
Schedule: Social hour: 6:30 pm; Dinner: 7:30 pm; Awards and Auction for Green Hill: 8:30 pm.
Green Hill: Bob Whitehurst
All of 2008 show dates are confirmed.
Budget will be discussed at the next meeting. Will inquire re: schedule for dragging rings and possible use of private drags.
CIF-Matching Funds Program with Roanoke County: Extension of covered area next to secretary's room is being considered. Bob will inquire re: possibility of buying a new drag.
Equipment: Bob Whitehurst
Suggestion made that we have a SWVADA sign made to post at clinics, etc.
Will make contact re: use/need for rings at GAIG's. A large show is scheduled with 1200 rides. Show will begin Thursday morning, so set up will be on Wednesday. Blanche and Susan will decorate on Wednesday.
A portable sound system has been purchased and was tried at the clinic. Purchased to make clinics, etc. more auditor friendly. Cost: $450.
Licensed Show: Nancy Stone
Has already sent out email requesting volunteers. Suggested some show ideas to raise funds for breast cancer. Several ideas discussed, including a “no braiding” donation by rider (which would be designated by a pink ribbon on saddle pad). Obtaining sponsorships is another possibility.
Need to begin search for an S judge for show.
Points/Awards: Susan Dallas
Reviewed where the FEI JR/YR scores are to be placed. USDF puts in Fourth Level, so that is what will be done for award purposes.
The 2008 membership application form is ready and will be included in the snail mail newsletter, along with a letter of explanation from Pat. Year concluded with 132 members.
Discussed updates needed. CHECK the SWVADA website often. New information and updates are ongoing.
GAIG's still need volunteers. Holly Veloso is Volunteer Coordinator.
The Adult Team Championships will be held August 2 & 3, 2008.
VADA Banquet will be held on January 27, 2008. VOTED to designate $100 toward the VADA chapter basket to be auctioned at banquet. VOTED $50 toward the VADA basket for the USDF convention. (Our southwest area will be represented by items from Chateau Morrisette.)
Next meeting: December 16, 2007 in Charlottesville. Need 3 SWVADA representatives.
October Show: Blanche Mahoney/Susan Dallas
Show was a “HOWLING” success with 84 rides, a delightful costume class, a leadline class, and a suitability class. Net profit: $882.92.
It was very difficult to schedule a schooling show of this size, especially since some riders brought multiple horses. Need to use the Fox program (purchased and used for the licensed show). Will investigate purchasing a laptop that could be rotated among show secretaries in order to make better use of the program.
Nominations and Election of 2008 Officers/Board
Nominated and elected to serve as Officers: President - Blanche Mahoney; Vice-President- Laura Nelson; Secretary - Gary Goodale; Treasurer- Bob Whitehurst.
Gary will collect bios from those nominated to serve on the Board and will prepare for the snail mail newsletter. Nominations include: Janet Brown, Susan Dallas, Katherine Graman, Cheryl Haas, Robin Jones, Marie Klimchuk, Beckie Mitchell, Pat Nelson, Rebecca Splan, Shelley Stewart, Nancy Stone.
Reminder: ALL PERPETUAL TROPHIES MUST BE RETURNED BY THE NEXT MEETING ON MONDAY, 19 NOVEMBER 2007. Return to any Board Member or mail to Blanche Mahoney.
