The regular monthly meeting of SWVADA was held on Monday, 17 September 2007 at Hollywood's in Hollins, VA. President Susan Dallas called the meeting to order. Board Members Present: Susan Dallas, Sarah Denham, Gary Goodale, Gabi Hooten, Robin Jones, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Pat Nelson, Annette Massey Shaw, Jeanette Shires, Rebecca Splan, Nancy Stone, Bob Whitehurst. Board Members Absent: None. Members/Guests also Present: Janet Brown, Cheryl Hass.

Treasurer's Report: Blanche Mahoney
Balance in Checking: $10,304.80; Savings: $1071.04; CD: $3120.00.
Clinic: Annette Massey Shaw
The clinic with Debbie Rodriquez on October 7 still has openings for riders. Information re: clinic is posted on the SWVADA website.
Discussed publicity and methods of contact. SWADA members will have first choice. Will open to others if spaces are available.
Fall Seminar: Jeanette Shires
Judy Westenhoefer will be the speaker at the SWVADA Fall Seminar. To be held on Saturday, December 1, 2007 from 1 - 3 pm at the Hollins Branch Library.
MARK your calendars NOW! This will be your chance to ask questions/discuss the new 2007 dressage tests with Judge Judy.
The two weeks prior to camp were hectic but situations were resolved and camp was once again a great success! The instructors were a good combination. Laura shared various camp experiences with us. Camper Bob Whitehurst commented that camp was a “super experience.”
SWVADA thankfully accepts $750 from the US Dressage Foundation, but will decline the additional $250 balance as it is not needed. Camp is a very expensive operation. The expenses were $11,422.80 this year. Grants from VADA and the US Dressage Foundation helped in part to offset some expense.
Many thanks to Laura for organizing camp for so many years. Discussed options for next year. Due to impending sale of Fancy Hill, may need to find a new facility. Also need to decide whether to skip a year or not.
Educational Sunday: Rebecca Splan
Rebecca has agreed to chair this committee and Laura will assist.
Contacts for speakers for 2008 are underway.
Annual Banquet: Blanche Mahoney
Discussed various options for a change in format for this year's banquet. It was agreed to continue holding in January.
Options being considered are an informal social, a dinner or brunch. The Salem Civic Center is a possible site.
Green Hill: Bob Whitehurst
Scheduling for 2008 will be done in October; notification must be given if any changes are to be requested in the calendar.
Re: Dragging of the rings. Budgetary restraints did limit maintenance this year. During show season the rings need attention every week.
Bob will drag the rings if needed prior to the October show.
Equipment: Bob Whitehurst
Re: Purchase of portable microphone system. Bob has investigated and found several options. He explained some of the technical problems involved. SWVADA needs a system that can be used for clinics, etc. at various locations.
VOTED to approve the purchase of a system up to $500.
Licensed Show: Nancy Stone
The show will be held in 2008 on our traditional Memorial Day Weekend (Saturday, May 24th).
NEED someone to serve as Secretary for the show.
Decided it would be best to begin search for judge as soon as possible. (This is the responsibility of the Vice-President.)

Plans are to send a letter and a membership form to current members.
USDF and VADA are requesting that memberships be renewed prior to December 1st.
Explained features of the new format and brought some sample printed pages.
The website will include many new features. Classifieds are now posted.
Request made to put the Licensed Show Entry Form on the website.

August Schooling Show: Jeanette Shires
Blanche reported that the show had a profit of $523.91.
Thanks to Manager Christine Warden and Secretary Jeanette Shires for their efforts. The show had a very friendly and fun atmosphere.
Discussed need for the Horse Show Committee to meet with show managers and secretaries prior to the next show season.
October Schooling Show: Blanche Mahoney/Susan Dallas
Agreed to add a FREE Costume Class.
Annual Snail Mail Newsletter should go out the first week of November. This newsletter will include nominations for the Board and nominations for the Barcelli Award. PLEASE SEND YOUR NOMINATIONS FOR THE BARCELLI AWARD TO ANY BOARD MEMBER PRIOR TO THE NEXT BOARD MEETING (Monday, October15th.) The Board will select three nominees for member voting. (Please see Omnibus for further details.)
Reminder that VADA still needs volunteers for the GAIG's at VHC October 25-28th. Sponsorships for classes also needed. (See VADA website for form.
Reminder that Officers for 2008 will be elected at the next meeting.
