SWVADA MINUTES

August 2007

7 P.M. at Hollywood's

(Come early for dinner!)

The regular monthly meeting of SWVADA was held on Monday, 20 August 2007 at Hollywood's in Hollins, VA. President Susan Dallas called the meeting to order. Board Members Present: Susan Dallas, Sarah Denham, Gary Goodale, Gabi Hooten, Robin Jones, Blanche Mahoney, Annette Massey Shaw, Beckie Mitchell, Laura Nelson, Pat Nelson, Jeanette Shires, Nancy Stone, Bob Whitehurst. Board Members Absent: Rebecca Splan.

President's Report: Susan Dallas

  • VOTED to reinstate Bob Whitehurst as a Board Member.

  • Ellen Aiken is unable to continue as a Board Member. Due to the lateness in the year, decided not to appoint a replacement.

Secretary's Report: Gary Maupin Goodale

  • VOTED to accept the July Minutes as posted.

Treasurer's Report: Blanche Mahoney

  • Received a refund check from Green Hill for the portable toilets used during the water problem at the Licensed Show.

  • Balance Checking: $11,240.78; Savings: $1070.55; CD: $3120.00.

Camp: Laura Nelson

  • Still have openings; 14 campers to date. Requested grant from the Dressage Foundation. (Update: SWVADA has been notified that it will receive $1000 grant.)

  • Discussed the fact that a DEPOSIT for Camp is a COMMITMENT. Non-refundable unless emergency circumstances.

  • Transportation needed for Liz Stacie from airport to camp on Thursday, Sept.6. Arrival at 6:30 PM.

  • SPECIAL FOR AUDITORS: Members are invited to audit lessons on Saturday at camp AT NO CHARGE. LUNCH WILL BE PROVIDED. COME JOIN US!

Clinics: Annette Massey Shaw/ Jeanette Shires

  • Annette reported that the clinic to be held on Sunday, October 7 with Debbie Rodriquez will be at Chimney Hill Farm in Salem. The cost per ride will be $65 for a 45 minute private lesson, a maximum of 12 rides. This clinic is partially funded by SWVADA through a VADA grant. (The clinic follows the October 6 Schooling Show which Debbie is judging.) Look for more information on the SWVADA web site.

  • Jeanette reported on possibilities for the planned seminar in November. Possible topic: “From the Judge's Viewpoint: What We Have Learned Re: Riding the New 2007 Tests.” Plans are to hold on a Sunday afternoon. To be a non-riding event.

Annual Banquet: Blanche Mahoney

  • Asked for input re: location, etc. If continued at the Wyndham, need to make reservations. Discussed various possibilities. Need to make decisions at next meeting. Note: The Annual VADA Banquet will be held on January 27, 2008.

Educational Sunday

  • Since Jeanette and Ellen will no longer be available to co-chair this important committee, we are looking for new chairpersons. Laura has agreed to help. Rebecca will be contacted. Need volunteers!

Green Hill: Bob Whitehurst

  • The new trailer entrance is now in use and seems to be working well. Portions are one way, but there are pull off areas and visibility is good. Trailers are now REQUIRED to use the new entrance. Other vehicles continue to use old entrance.

  • Discussed problems with dragging of ring for shows. Bob will check with GH Committee to see if SWVADA could drag prior to/or if needed during a show. Some concern that we may be losing entries due to hardness of rings (weather hasn't helped).

  • Water is now available at the barns.

Equipment: Bob Whitehurst

*Blanche reported that she has contacted Jan re: purchase of additional 10 cones. Has not received a quote yet.

  • Now have a total of 24 stakes per ring.

Membership: Pat Nelson

*Now have 130 members. September 1 is the deadline for joining for 2007. Reminder: Calendar year ends November 30.

Media Library: Gabi Hooten

  • Library will be available for use by campers.

  • Reminder to turn in Southern States proof of purchase labels to Blanche Mahoney. These labels support our purchase of new DVD's.

  • Reminder to event managers: Southern States is always supposed to be recognized in programs.

VADA: Susan Dallas/Sarah Denham

  • Next Meeting: Saturday, 8 September. Need someone to represent SWVADA at this meeting.

  • GAIG's: VOTED to Sponsor Overall High Score Award. ($100). Sponsor forms will be emailed.

August Schooling Show: Jeanette Shires

  • Show will have one ring; 53 rides are scheduled.

Board/Officers for 2008: Susan Dallas

  • Reminder that 2008 Officers must come from the 2007 Board.

  • Need interested/willing individuals to serve on the 2008 Board! Please contact Susan Dallas or any Board Member if interested!
