SWVADA Minutes

18 June 2007

The regular monthly meeting of SWVADA was held on Monday, 18 June 2007 at Hollywood's in Hollins, VA. President Susan Dallas called the meeting to order. Board Members Present: Susan Dallas, Sarah Denham, Gary Goodale, Gabi Hooten, Robin Jones, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Annette Massey Shaw, Nancy Stone. Board Members Absent: Ellen Aiken, Pat Nelson, Jeanette Shires, Rebecca Splan, Bob Whitehurst.

President's Report: Susan Dallas

  • Explained recent computer problems prevented email contacts.

  • Many thanks to Nancy Stone and Bob Whitehurst for the well run licensed show. Very complimentary comments were received from the TD.

Vice-President's Report: Laura Nelson

  • SWVADA has received a thank you from 4H for the trophy donated.

Secretary's Report: Gary Goodale

  • Accepted April Minutes as posted.

Treasurer's Report: Blanche Mahoney

  • Checking Account Balance: $8,519.46; Savings: $1069.48; CD: $3120.00

Camp: Laura Nelson

  • Ten campers on list to date. Received a call from an interested person in New Jersey.

  • Open to suggestions for topics, speakers, etc. and for Auditors' Lunch.

Equipment: Bob Whitehurst (Blanche Mahoney)

  • Blanche has investigated cost of replacement cones for the dressage arenas. Will order 10 replacement cones.

Library: Gabi Hooten

  • Several new DVD's have been ordered but are currently on backorder.

Website: Nancy Stone

  • Discussed policies for advertising. Decided that: Classifieds are free to members; fees will be charged for advertisements; no charge for appropriate information for News/Notes. Flyer for Jane Savoie Clinic at Averett has been posted.

  • Work is in progress re: basic instructions for posting information with graphics on web.

  • Request made that Classifieds link be put on home page menu.

VADA: Susan Dallas/ Sarah Denham

  • Next meeting: Sunday, 8 July 2007

Licensed Show: Nancy Stone/Bob Whitehurst

  • Final Report is in progress. Very pleased with show overall. The nice support was greatly appreciated.

  • Suggested forming a licensed show committee for next year. Would like to begin planning now. Volunteer hours could be earned for serving on committee.

  • Nancy agreed to manage the 2008 Licensed Show.

  • Discussed stabling refund policy. Decided that for the licensed show, stabling refunding will be left to the discretion of the show manager. (Refunds will be given for schooling shows.)

  • Decided to give Hollywood's a free ad in show program next year for use of room for Board meetings.

  • Discussed water problem at show. Green Hill has agreed to reimburse SWVADA for the cost of portable toilets.

  • Donation of $50 made to Fort Lewis Fire Department for their help with water problem.

  • Will ask Green Hill to develop a water emergency plan.

Clinics: Annette Massey Shaw

  • Need to work on fees for the October Clinic with Debbie Rodriguez.

  • Clinic will be held Sunday, 7 October 2007 at Chimney Hill Farm in Salem.

  • Blanche will be responsible for arranging housing.

  • Discussed costs. Reminder that $400 of VADA grant funds will be used to support clinic.

Miscellaneous

  • Some financial reports have not yet been submitted. Blanche supplied the information she has on books: April Fix -A-Test: -$310.12; April Schooling Show: +$1327.59. Report on Educational Sunday not in yet.

  • June Fix-A-Test report from Judy Bonin: -$57.58.

  • Annette reported that she is still working on D&O insurance information. The quote she has so far is $1125.25 per year. Susan reported that VADA is still working on how to help chapters afford D&O insurance.

  • Best wishes for a speedy recovery to Pat Magner of Fancy Hill Farms.

  • Congratulations to Alyssa Leib, SWVADA member and Roanoke Valley Pony Club member. Alyssa placed second overall at the Old Dominion Region Pony Club Dressage Rally with a score of 63.91% on Almost Famous.
