President's Message

Hello!
Summer seems to have finally arrived in SouthWest Virginia! Phew, I could
do without the humidity. Mold seems to be growing on anything that's not
moving. I am looking forward to the cool, dry air of autumn with the
beautiful changing colors of the leaves.

Our August schooling show was indeed sizzling! Our first time manager,
Ellen Aiken, did a fabulous job. Thank you, Ellen. Jeanette Shires was the
secretary and did her usual exemplary job. Our many thanks, Jeanette. I
hope everyone who attended had a great time.

On September 27, the Green Hill Equestian Games will be held at Green Hill
Park. This show replaces the Commonwealth Games. All the proceeds from
this show will go to improved Green Hill Park. Please plan on attending, it
will be a lot of fun!

Our last schooling show will be on October 11. Susan Dallas and I are
having lots of fun organizing this show, come and see what we have planned.
This is also one of the last time to get your volunteer hours in so please
call us to volunteer!

The regular monthly meeting of SWVADA was held on Monday, 18 August 2003 at Wildflour Restaurant in Hollins, VA. President Pam Bennington called the meeting to order. COMMITTEE REPORTS

Green Hill Equestrian Games: Pam Bennington
1. Discussed request re: expenses for prizes. Consensus was that purchase of prizes should be delayed until entries are closed, thus providing some idea of expenses for show prior to further expenditures. Individuals should not be expected to provide start up funding. SWVADA and individuals have provided such funds this year. Chris DeVuyst suggested that items remaining from donations for Adult Camp could be used for prizes.
2. Concerns voiced re:start up funding for the show. Prior to next year’s show (IF start up funds are needed),consider requesting that all sponsoring organizations provide funding rather than just SWVADA . Also, who is responsible if there are debts from show?

Adult Camp: Laura Nelson
1. Camp is full: there will be 18 campers with 11 on the waiting list. (To be held at Fancy Hill Farm.)
2. Stabling will be on the hill this year; Saddlefitter Sandy Panek will be available on Friday and other demos and lectures are planned. AUDITORS ARE WELCOME….NO CHARGE!
3. The USDF Dressage Foundation has sent the first installment of the grant that was awarded to the Adult Camp.
4. Final payments from campers are now due.

Clinics: Laura Nelson
1. Chimney Hill Farm will be hosting clinics with Sue Rothgeb on a continuing basis.
2. The first clinics are scheduled for October 18-20; November 1-2.
3. Contact Chimney Hill Farm/ Judy Gustafson for info.

Educational Sunday: Ellen Aiken
1. Date: February 29, 2004.
2. Location: VA Tech (but new facility will not be ready by then).
3. Contact Ellen for suggestions/ volunteering.

2. Arrangements are in the making to pick up.

Potluck Dinner/ Tack Sale: Cathy Caspole
1. Date: Saturday, November 15, 2003 (Mark your calendars now!)

August Schooling Show: Ellen Aiken
1. Approximately 50 rides are scheduled.
2. Volunteers are always welcome!
3. Possibly 2 vendors will be at show. Thanks to Tack Shops for prize donations!
4. Blanche Mahoney reported that Southern States has donated a free bag of feed. Will use for show prize.

Horse Show Committee: Gary Goodale
1. Discussed the fact that the term "sanctioned show”"will no longer be used.
2. Will use instead the term "listed" with a disclaimer that SWVADA is not responsible/liable for show.
3. VOTED: Will use term "listed" rather than "sanctioned" Shows accepted for "listing" in the Omnibus will be modeled after previously established criteria.
4. Gary and Harriet Keys will compose a letter of explanation to organizations affected.
5. At this point, probably no need for the annual November Show Committee Meeting.
Hospitality: Blanche Mahoney
1. Has investigated possibility of holding Annual Banquet at Hollins University. Waiting for information. Possible date: January 24, 2004.
2. Blanche will email Board info when received.

3. Now the vote goes to the membership in Sept/Oct according to chapter By Laws.
4. ByLaws Proposal will be on Web Site and the ballot will be in the special October mailing.
5. NOVA will host an L program.
6. YOU ARE INVITED to attend the George Williams Clinic at Morven Park on Nov. 22. FREE. Just register to audit by notifying Pam Bennington.
7. Investigating how VADA might hold over funds in case of loss of show funds. The financial problems at VA Horse Center (loss of state funding) might prohibit the hosting of championship shows there.
8. Kudos to SWVADA for being featured in the USDF CONNECTIONS article on Adult Camps!

VADA Announces Clinic with USDF Vice-President George Williams
"Essentials of moving up - prerequisites and essentials for advancement"
Morven Park, Leesburg Va
November 22-23, 2003

An auditor-oriented clinic that examines the prerequisites for moving up through the levels.
Auditing is FREE to VADA members. Non-members may audit at $35/day or $55 for both days. USDF UNIVERSITY CREDIT APPROVED (#03U14040). Register at the clinic.

Judges Perspective -- Saturday Night- Kathy Rowse to be the judge

Virginia Horse Center – Tina reported the horse center is in a financial bind because the state is no longer funding it. Moody’s has downgraded the $16 million bond further putting the center in jeopardy. They will be starting a big capital campaign in the near future. It will be very important for all of us to help and support the campaign in any way we can.

By-Laws – All present had read the by-laws and were happy with proposed changes, with the exception of Standing Rules - Section D: Recognized Show Awards. A number of people felt scores should be from Open shows only and to NOT allow breed only show results to apply. It was decided to leave as it was previously to allow scores only from Open USA EQ , USDF recognized shows. Amended By-Laws will be sent to each chapter president for inclusion in chapter newsletters. They should be voted on in September or October according to voting procedures defined in chapter by-laws. Will put by-laws on VADA web site as well.

L-Program Proposal – All agreed it was an extremely well put together proposal. The proposal was accepted. A selection committee needs to choose participants with the highest level of achievement. The committee will be Debbie Bowman, Catherine Sutton, and Anne Draine.

George Williams Clinic – November 22-23. Nancy got USDF university approval. Insurance cost may go up to $350.00. For rider information contact Robin Dannels. Auditor applications mail to Pam Bennington.

Junior/Young Rider Championship went very well.

Molly brought up VADA’s financial liability if we were to lose our championship shows. Should we be putting money aside in the event we were to lose the Horse Center or not contract a big show? Catherine will contact our CPA to look into putting some of our money aside into a CD.

Adult Team Championship – Jessie Ginsburg has not received entries for any complete teams. She recommends not sending any teams this year. Suggested we include in the Purple Book next year info on criteria and funding so teams can prepare more in advance.

Chapter Grants are continuing to be used. SVA has rented a bus and has 40 members going to Devon for $20.00; includes admission and bus fare. They have room for a few more participants if anyone outside their chapter is interested.

V.I.P. Program – No hours sent in yet. Consensus was most will turn hours in at the end of the year. Debbie O’Bier is apprenticing Kristen on the program.

SW reported their Adult Camp was featured in USDF Connections and as a result it has filled one and one half times over. They had a Fix-A-Test with April Rivers that was excellent.
ShenVADA is having their RR clinic with Beth Jandl on 8/3.

NEWS in BRIEF

Volunteers Make Show Work
 
The Summer Sizzler Dressage Show at Green Hill on August 23 was a big success, thanks to all those who worked hard to put it on.  A hearty crew of Ellen Aiken, Pam Bennington, Harriet Keys, Blanche Mahoney, Elizabeth Maguire, and Jeanette Shires set the ring up on Friday in record time. Saturday was indeed a sizzler of a day, but many folks braved the heat to make it all work.  Show Manager Ellen Aiken and her husband David Hunt were there before dawn, and Secretary Jeanette Shires was close on their heels, putting last minute touches on the beach-theme decorations.  Dressed in colorful Hawaiian shirts, other volunteers reported for their assigned duties right on schedule.  Pam Bennington capably introduced each horse and rider over the loud speaker and kept things lively by playing beach music during the breaks.  Elise Tyminski was the morning scribe, and her calm manner and very neat hand writing were much appreciated!  Runner and ring steward Pat Bevan was lively and efficient as she tracked down riders and speedily brought tests in to be scored.  David Hunt and Laura Wasco kept the adding machines clicking as they scored and checked the results.  Blanche Mahoney served as videographer and general all around helper in between taping rides.  Harriet Keys helped things go smoothly by lending an experienced eye and hand to any task needed in the morning, and she took over for Pam as announcer in the afternoon when Pam moved to the scribe's chair.  Linda and Stepahnie Till came in the afternoon and acted as scorer and runner respectively, and stayed to help clean up after the show.  Jean Bost-Moore, who also was competing, stayed to help as well, along with Cathy and Cayse Smith, and Blanche Mahoney.  The crew nearly got through putting things away before a cloud burst got them all soaked, but nobody complained a bit about being wet!
 
Thanks to all those folks, plus to our own "Judge Judy" Westenhoefer for providing such good feedback to all the riders, who were all good sports about the heat and dust!  Thanks also to Bastian's BBQ for providing concessions, and Virginia Tack and Horse and More for bringing their mobile stores to the show and for donating prizes.  Last but not least, thanks goes to Bernard Hylton who saved the day by tacking on a lost shoe for competitor Gail Stanley, who went on to win High Point Award of the Day!  All made possible by a great bunch of folks!!!

Congrats to Katie Myers and Pavan, earning 68% in Training 2, 60% in Training 1 for 2nd and 3rd place respectively at the open dressage show that the Morgan Horse Show held at the VHC Aug 30th.
Congrats to Ellen Aiken and Deimerlicht for scoring over 60% in all their rides at Dressage at Lexington, including a first place in First Level, Test 2 with a 67.647%. They also qualified at Training Level for the Region 1 GAIG/USDF Finals with a score of 66.154% in Training Level Test 4.
