The regular monthly meeting of SWVADA was held on Monday, 19 Sepetember 2005 at Hollywood’s Restaurant in Hollins, VA. President Beckie Mitchell called the meeting to order. Board Members Present: Sue Cooper, Susan Dallas, Gary Goodale, Gabi Hooten, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Pat Nelson, Kim Reid, Annette Massey Shaw, Jeanette Shires, Bob Whitehurst. Board Members Absent: Pat Bevan, Robin Jones, Rebecca Splan. Members and guests also present: Ellen Aiken, Bobby Dallas.


President’s Report: Beckie Mitchell
1. Expressed appreciation to Board for their outstanding efforts during the year. Encouraged members to consider upcoming election of officers, Board for next year, and needed committee chairs.
2. Thanked the considerable efforts of those who worked on the August Schooling Show. It was a huge success!
3. Thanked all those involved in making this year’s Adult Camp another great experience. Discussed some areas to consider for next year.

Secretary’s Report: Gary Goodale
1. No meeting held in August.
2. VOTED to accept/approve the July minutes as submitted.

Treasurer’s Report: Blanche Mahoney
1. Balance Checking: $9993.57
2. Balance Savings: $1058.55
3. Discussed establishing a policy to deal with bad checks from non members.
4. Recognized show report will now show a withdrawal of $360 (an additional drug fee that was owed USEF).

Educational Sunday: Ellen Aiken/Jeanette Shires
1. The date set for this year is Sunday, February 19, 2006. The earlier date was the only available date in order to use VA Tech facilities.
2. Suggestions for topics for this year would be appreciated!

Adult Camp: Gary Goodale
1. Camp 2005 was a huge success. Instructors Harriet Peterson and Cathy Howard shared their expertise with enthusiastic campers.
2. As always, we had very “Happy Campers!”
3. Special thanks to Camp Volunteers: Pat Bevan, Jan Keener, Blanche Mahoney, Becky Mitchell, Laura Nelson, Pat Nelson.
4. A camp evaluation form has been sent out. So far, the response has given camp a high rate of approval. A number of suggestions have been made for future camps. We welcome any ideas!

Clinics: Annette Massey Shaw
1. Possibilities for a major seminar are being investigated. Would like to use Tech facilities if possible. Annette has talked with several possible clinicians. Getting an open date at Tech may be a problem. Laura Nelson and Jeanette Shires will check with Tech.
2. The seminar would be directed to auditors and we would like to include the Tech equestrians.

Green Hill: Bob Whitehurst
1. The Pony Club borrowed arenas and sent thanks to SWVADA for their use.
2. Green Hill is redoing Ring 3 and replacing the footing. The old footing will be used as a base for the new stabling.
3. The stables are being started and hopefully will be available for use in the spring.

Hospitality: Blanche Mahoney
1. The Year End Banquet will be held again at the Wyndham.
2. Date: February 4, 2006. Mark your calendar!

Points/Awards: Ellen Aiken
1. Current standings have been posted. Though the shows have been well attended this year, not many riders have qualified for awards. We had 3 fewer shows this year (Fancy Hill held no dressage shows). Lots of riders but many are non-members.
2. Need to consider if we should look at options for increasing memberships. Provide more publicity re: joining SWVADA.
3. Ellen reports she has had trouble getting volunteer forms in. Suggested develop a format whereby event managers could send in a list of their volunteers.
4. Thanks for the efforts of Pat Bevan, who solicited donations from companies for Camp “We Care” bags. Leftovers will be used as prizes for shows, banquet.
5. Asked that we encourage riders to ride First Level, Test 1 at SWVADA Schooling Shows as all entry fees from that class are donated to the VA Horse Center.

VADA: Susan Dallas
1. Minutes have been sent out via email. Note: VADA no longer will hold the Freestyle event. Considering other options.
2. Will no longer hold Round Robin Clinics as they were not well attended. VADA asks that professionals in each chapter donate a clinic for the VADA banquet auction.
3. Need volunteers for the GAIG”s on October 20-23. Contact Holly Veloso.
4. Discussed possible items for SWVADA to donate for the VADA auction.

August Schooling Show: Bob Whitehurst
1. Thanks to all who pulled together to make this show happen. Special thanks to Bob Whitehurst, manager and Kim Smith, secretary.
2. The show showed a profit of $1006.06!

Miscellaneous
1. We need VOLUNTEERS for the October Schooling Show!
2. VOTED to donate $50 to the Roanoke Valley Therapeutic Riding Program.
3. Reminder that officers for next year must come from the 2005 Board. By October we must have a slate of officers in place.
4. Beckie Mitchell requested that the Board review the operating budget she has prepared and be ready to discuss at the next meeting.
5. VOTED to donate $100 to the USEF Horse Relief Fund set up to rescue/aid hurricane victims.
6. Noted that some chapters are paying members to run shows, etc. Ellen Aiken reminded us that as a 501.C3 group, Board members cannot be paid for services.
7. Gary Goodale presented a proposal for selecting the Barcelli Award. Basically, the idea is for the membership to submit names to the Board. Three names, with a profile, would then be submitted by the Board to the membership for voting. Details to be discussed at next meeting.
8. Time to consider the VADA Volunteer Chapter Award.
9. Gary will price cost of polo shirts with logo as a sales project.
10. Bob Whitehurst said that the Oakhill Combined Driving Show will be held at VHC on October 6-9. This is an international event. Volunteers always welcome.
11. A big thanks to Ginger Edwards who has been working with Blanche Mahoney and getting all our finances put on Quick Books.
12. SHOW MANAGER NEEDED FOR THE 2006 RECOGNIZED SHOW.

VADA BOARD MEETING MINUTES
AUG. 27, 2005

The meeting, held at the DoubleTree Inn in Charlottesville, was called to order by President Bettina Longaker at 11: 15 a.m. Tina related some of the problems and concerns with the National Young Riders Championships (NARYC) at Lexington in July and thanked all VADA volunteers who pitched in and made it happen.

1. The minutes from the July 5th board meeting were read and approved as presented.

2. Treasurer’s Report: There is a total of approximately $33,000 in the combined VADA accounts. Organization of the Celebrity Freestyle account is still under way as explained by Jessie Ginsburg. Nancy Lowey and Jessie clarified certain accounting items and tax issues in regard to the Celebrity Freestyle for the years 2004 and 2005.

4. Celebrity Freestyle: Nancy Lowey reported on this year’s show and the recent meeting of the CF Committee in which it was decided to disband the committee and the event. This was a difficult decision but reached with full concurrence of the committee. The VADA Board members present accepted the Committee’s decision.

5. 2005 Adult Team Competition: Jessie reported that entries for this event have been slow. It was agreed to amend the rules for VADA to fund up to 6 teams, preferably one team at each level but accepting two teams at one level if necessary for the competition, which takes place the last weekend in October (29-30). Sharon Ackley made the motion, Tammy seconded; all approved. A judges’ forum will be run in connection with the competition. Information will be forthcoming on that aspect.

6. Chapter Reports: Fredericksburg chapter reported on winning the Youth Team competition at Morven Park in July. Everyone agreed the competition was well run and loads of fun for everyone. Tina reported that a breed show has also been added to the Fredricksburg/CH show in Sept.
Beth Rippel reported that this was the last year for the Southeast chapter recognized show at the Wakefield Center, which has fallen into disrepair. If approved, Southeast will do two recognized one-day shows in 2006, April 23 and Aug. 13, at Carlton Farms in Williamsburg.
Ellen Simonetti reported that the ShenVADA Schooling Show held at the Shenandoah County Fairground on Sat., Aug. 27, was very successful.
Southwest will have its annual camp at Fancy Hill Farm in early Sept. with the same clinicians as last year. Southwest also had a schooling show on Sat., Aug. 27. They have been challenged this year to find show management and volunteers, as have all other chapters.
VADA/Nova reported that there is a lot going on within the chapter. Their recent first-ever adult camp held at the Madeira School in Northern Virginia was a huge success and will probably be continued next year. There will be a September recognized show. For the November recognized show, they will include an adult team tournament to add a little fun to the competition. An education day is planned for next Feb. in Leesburg. It will involve many horse topics, not just dressage and include volunteer training on scoring, scribing and ring stewarding. To support the USDF Capitol Campaign, VADA/Nova will donate proceeds from First Level Test 1 from all of their recognized shows.
Central will have a Schooling Show on Sept. 9. that Barbara Wiefelstede will judge.
Charlottesville Chapter is having a breed show in connection with the Fredericksburg shows. A clinic with Leslie Reed will be held in November at Gerd Reuter’s farm in Barbourville. CH will also have a Debbie Bowman clinic, possibly in Staunton at Melanie Worth’s arena.

8. Chapter Grants: Fredericksburg will use its 2005 grant to go to Dressage at Devon this year. Southeast will roll its 2005 grant into next year.

9. Morven Park: Dianne Boyd reported that arrangements for potential new management for Morven is under way. She requested a letter of support or endorsement from VADA for The Equestrian and Cultural Arts Center, which is putting together a letter of intent to lease the facility in the future. Nancy Lowey so moved and Robin Jones seconded. Unanimously approved. Dianne and Alison Head serve on the board of this entity.

10. Annual Banquet: Beth Ripple will again chair the committee.

11. 2006 Round Robin Clinics: After discussion, it was concluded that the Round Robin Clinics program should be discontinued for the present time, with encouragement to clinicians to donate time to the silent auction of the annual awards banquet.

12. Yearly Awards: Volunteer hours eligibility for state awards was discussed. Changes for 2006 will be made in the Purple Book with regard to volunteer hours. Tina will clarify for the newsletters.

13. George Williams Clinic: Tina is waiting for a response from him with regard to a 2006 clinic. Dianne suggested doing it in conjunction with the BLMs next year or holding at another facility. She will research dates and prices, probably for fall.

14. VADA Fall & GAIGS: Dianne updated the status of all the management aspects and the entertainment schedule for the GAIGS, Oct. 20-23 in Lexington. Entries are being received. It was agreed to have a silent auction for the benefit of the VADA Education Fund in lieu of the raffle. Chapters can donate items worth at least $50.00 in exchange for an ad in the program.
Nancy Lowey made a motion that VADA have a banner made for display at the GAIGS and other functions; Sharon Ackley seconded. Unanimously approved. Dilly Jackson volunteered to have the banner made.
Holly Voloso was lauded for her work with volunteers at the GAIGS and the NAYRC.
Sharon Ackley reported on progress of securing awards.
All entertainment will be on Sat. (none on Friday night), including the doggy costume show.
Nancy Lowery made a motion that Robin Dannels be given an honorarium for her work on the program. Ellen Simonetti seconded. So approved.
Dianne still needs cars to be used for judging cars to be used by judges. A car can be supplied on a volunteer basis so hours can be earned toward the VIP awards.

15. USDF Region I Meeting: 9:00 a.m., Nov. 6. Tina encouraged attendance of the Board at this meeting, which will be held at Morven Park.

16. Professional Sponsor Consultant: Tina was given approval to contact a person in Charlottesville to present a proposal. This professional would replace Beth Jandl next year in securing ads and sponsorships for VADA events. Jessie suggested that we generate a request for proposal to be published, that will set up parameters. Purpose: to supply more money for chapter grants, to justify 501(3) status, and to raise general funds for VADA activities such as the Purple Book. Susan Trivers, agreed to help organize a committee to get things started. Tina Longaker, Jessie Ginsberg, Ellen Simonetti, and Nancy Lowey volunteered to serve on the committee. A meeting of the committee is to be organized by the end of Sept.

17. USDF Annual Convention: The 2005 convention will be held in Burbank, CA. Tina and Beth Jandel will be the representatives funded by VADA.

18. September meeting: After discussion the Board agreed to hold its next meeting on Sat. Sept. 24 at 11:00. (This is a change from previously scheduled Sun. Sept. 25.)

19. Membership: Beth Rippel reported that beginning in 2005, the GMO year will be Dec. 1 to Nov. 30, 2006. Chapters will have to change to an eleven-month year in order to coordinate. Beth will provide more information on this to the chapters.

  • Congratulations to Rebecca Splan and Pavan, who competed at the Region 15 Championships in July. Pavan was named Champion Sport Horse under Saddle, was Reserve Champion in Half-Arabian Sport Horse Mares In-Hand, and also earned a Reserve Championship in her First Level Amateur Owner test. In total, Pavan showed in seven classes and earned seven Top Fives.
  • Congratulations to Tobie Bentz on Jelle, highest scoring Adult Amateur at VADA-F at Rosemount Farm.
  • Sue Cooper and Impulsion Unlimited will be relocating to their new and bigger farm in Bedford County on October 1st.
  • Congratulations to Annette Massey Shaw and her new mount “Spar” winning First Level, Test 1 at VADA-F and taking 3rd in First , Test 1 with a 65.577% at VADA-CH.
