PRESIDENT'S MESSAGE

 
With the conclusion of the "Frightfully Fun October Schooling Show," the SWVADA year is rapidly drawing to a close.  A huge thanks to Jeanette Shires for being the show secretary.  A special "hats off" and thanks to Judy Bonin, Jean Bost-Moore, and Laura Lee, a trio of terrific ladies who stepped up (when things were looking grim!) to manage the show.  Thanks, too, to the cast of volunteers who chipped in to make the day run smoothly! 
 
Be on the lookout for a special "snail mail" brochure from SWVADA.  Inside will be information about the annual year end celebration, as well as a membership form (remember the SWVADA year is Dec. 1 - Nov. 30, so be sure to join early!) and a slate of nominations for Board positions.  Also, be sure to turn in those recognized show scores and volunteer vouchers to Ellen Aiken.

October 2005
Next Meeting: 7 PM, Monday, November 21, 2005

The regular monthly meeting of SWVADA was held on Monday,  17 October 2005 at Hollywood’s in Hollins, VA. President Beckie Mitchell called the meeting to order at 7 PM. Board Members Present: Pat Bevan, Sue Cooper, Gary Goodale, Gabi Hooten, Robin Jones, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Jeanette Shires, Bob Whitehurst. Board Members Absent: Susan Dallas, Pat Nelson, Kim Reid, Annette Massey Shaw. Members/Guests also Present: Ellen Aiken, Sarah Denham, Nancy Stone.

President’s Report: Beckie Mitchell
1. Guests welcomed and introductions made.
2. Reminder re: upcoming election of Board Members. Those interested asked to so indicate. A brief bio will be included in the hard copy mailing.

Secretary’s Report: Gary Goodale
1. Correction to October 2005 Minutes: Re: Review of non-profit status in Miscellaneous. Change “can’t” pay Board Members to “should avoid offering paid positions to Board members whenever possible.”
2. VOTED to approve minutes with correction.

Treasurer’s Report: Blanche Mahoney
1. Balance in Checking Account: $9,429.35
2. Balance in Savings Account: $1058.98
3. Discussed how best to use funds. Will investigate various banking possibilities. Several topics were mentioned re:donations. To be further discussed and determined at a later date.

SWVADA’s 501.C3 Status: Ellen Aiken
1. A brief review and overview of what it means to be a non-profit organization. Reviewed financial ethics involved
2. Defined what “non-profit” implies.
3. Ellen presented a number of suggestions re: how SWVADA can fulfill its mission statement, including: engaging in more activities that partner with other horse related non-profits (Therapeutic riding, 4-H, Horse Rescue, Pony Club, etc.); adding educational component to meetings and/or banquet. Several other topics mentioned.
4. The written report prepared by Ellen will be attached to the November minutes.
5. Plans for use of funds and plans for activities and educational programs will be considered with regard to our status as a non-profit organization.
6. Report by Ellen available upon request from Secretary.

BUSINESS/REPORTS

Clinics: Laura Nelson
1. VA Tech has been contacted re: hosting a major clinic there. Will require some long range planning. Possible clinician: Linda Zang.
2. Discussed various ideas and how to implement in order to host such a clinic. Plans are to make this happen!

Adult Camp: Gary Goodale
1. Decided to continue the camp tradition and offer an adult camp in 2006.
2. An Adult Camp Committee will consist of: Gary Goodale, Blanche Mahoney, Laura Nelson.
3. Suggestions and ideas were discussed. Input welcomed!

Equipment: Bob Whitehurst
1. Two rings were loaned to VADA for the Championships.
2. Arrangements made re: delivery and pick up.

Hospitality: Blanche Mahoney
1. Reminder that trophies need to be returned.
2. NOTE: Due to a conflict, the date of the Annual Banquet has been changed to FEBRUARY 11, 2006.
3. Discussed ideas for entertainment.



Public Relations: Pat Bevan
1. Writing thank you notes for donations to the Adult Camp.
2. Requested ideas for increasing membership.

VADA: Minutes have been posted via Email.

Video Library: Gabi Hooten
1. Reviewed list of new videos now available.
2. Will post list on website.

October Schooling Show: Jeanette Shires
1. Reviewed plans.
2. Discussed footing in Ring 2. Bob Whitehurst volunteered to try and screen for rocks.
3. Rebecca Splan will also judge if second ring is needed.

Election of Officers for 2006
The following were elected to serve as Officers for 2006:
President – Susan Dallas; Vice-President – Laura Nelson; Secretary – Jeanette Shires; Treasurer – Blanche Mahoney.

Barcelli Award: Gary Goodale
1. Reviewed purposed wording for the selection of the recipient of the Barcelli Award.
2. VOTED to accept wording to read: The Barcelli Award is voted on by the membership. Criteria include outstanding dedication, cooperation, and enthusiasm for the sport of dressage. Names of members deemed worthy of the award may be submitted to the Board. The Board will then review and present 3 names to be placed on the ballot. Bios will be presented to the membership. Voting will take place at the Annual Banquet.
3. Members are requested to submit names immediately to any Board Member.

Budget Proposal: Beckie Mitchell
1. Reviewed proposal submitted, which was based on previous 3 years financial review.
2. Discussed difficulties involved in predicting income as show entries vary from year to year.
3. Requested that the Financial Review prepared by the Long Range Planning Committee be sent to all Board Members. Gary Goodale will email report.

Miscellaneous
1. Discussed possibility of Online Omnibus. Reviewed problem of personal information that is included in Omnibus and whether that should be placed online.
2. Rebecca Splan explained plan.
3. If possible, will place Omnibus online. Membership Form will allow members to request a hard copy of Omnibus if they so desire. The hard copy will be free to members.
4. Discussed Calendar for 2006. Need info from Green Hill before proceeding.
5. Discussed issues facing new Board Members and how best to provide information re: procedures, etc. of Board.
6. Upcoming Dates: February 11 – Annual Year End Celebration; February 19 – Educational Sunday to be held at VA Tech.

The meeting then adjourned.

VADA BOARD MEETING MINUTES
September 24, 2005


Members Present: Bettina Longaker (CH), Cheryl Painter (NE), Susan Dallas (SW). Robin Jones (SW), Victoria O’Hara (CH), Beth Jandl (CH), Beth Rippel (SE), Robin Dannels (NOVA), Dianne Boyd (NOVA), Jessie Ginsburg (NOVA), Jane Palmer (Shen).

1. The Minutes from the August meeting were approved as read.

2. Treasurer’s Report: Jessie Ginsburg reported a combined total of approximately $60,000 in the VADA accounts.

3. Taxes: Jessie has had meetings with the accountant and is making progress on clearing up various tax issues.

4. Celebrity Freestyle Follow-up: Jessie is continuing follow-up on financial items involving the CF.

5. Adult Team Challenge: Jessie reported on entries in Intro through 3rd level teams for the Oct. 29/30 event at Morven Park. She asked that a new coordinator be found for next year’s event. That will be decided at the Region I meeting on Nov. 6.

6. Chapter Reports: The twin shows at Rosemont in early September were well attended and again very successful. ShenVADA will have a schooling show on Oct. 8 at Light Horse Farm, Linville, VA. SouthWest held it’s annual dressage camp at Fancy Hill in September.

7. Morven Park Update: Dianne Boyd reported that the Westmoreland Foundation turned down the proposal of the Equestrian and Cultural Arts Center to lease Morven Park. She believes that Morven will still be operational during 2006 but does not know future plans for the facility.

8. 2006 Annual Banquet: Beth Rippel reported that the food will be all breakfast related at this year‘s banquet. It will be held at the Ashland Resort, Ashland, VA, January 15, 2006, the same location as last year‘s banquet.

9. Shel Gafford Nominations: Louise West is now accepting nominations for this award.

10. 2005 Yearly Awards and VIP Awards: Jessie circulated information on new items to be given to recipients this year. The Board readily approved the selections.

11. George Williams Clinic: Tina reported that a date for a November 2006 clinic with George Williams has still not been confirmed. Possible venues for the event other than Morven Park were discussed and will be pursued once a date is established.

12. VADA Fall & GAIGS: Dianne presented an update of management issues with respect to the GAIGS. Beth Jandl reported on receipt of sponsorships and ads and donations of awards. She is still waiting for some chapter responses in support of the barn breakfasts.
Volunteers are needed and still being solicited by Holly Veloso. The Chapters are urged to encourage members to volunteer. Members volunteering cars for judges will receive VIP credit.

13. FAll Region I Meeting: Tina urged chapter representation at the Region I meeting at 9:00 a.m. on Sunday, November 6 in the show office at Morven Park. The cost of attending is $15. Make checks payable to USDF Region One and send to Alison Head, 38595 Purple Mountain Lane, Hamilton, VA 20158 by November 1.

14. Purple Book: Robin Dannels is working on the Purple Book and gave first call for chapter information. She is searching for ads to offset costs of producing the book.

15. High School Lettering: Vickie O’Hara presented information from USDF on the high school lettering dressage program guidelines set forth by USDF. She plans to make a presentation to the Virginia Board of Education in order to get a program established in Virginia and requested VADA‘s support in her efforts. Beth Jandl moved that VADA support her efforts. Jessie seconded. Unanimously approved.

16. The next VADA Board Meeting will be Sunday, November 6 at the DoubleTree in Charlottesville, 11:00 a.m.

The meeting adjourned at 1:45 p.m.

Here are the nominations for the 2005 Shel Gafford Award. Please read them over carefully and cast your vote for the one you feel best exemplifies the qualities of good sportsmanship, generosity, and dedication to the sport of Dressage that were so much a part of Shel’s character.

JESSIE GINSBURG (VADA/NOVA):
Jessie Ginsburg is a long time member of the Board of Directors of VADA/NOVA, and has served as VP, chapter representative and VADA Treasurer. She is also a very successful competitor. Unfortunately, last year Linus became lame and she recently made the painful decision to retire him.
While her story is not unique, Jessie’s sportsmanship throughout this ordeal is. One of Jessie’s long held goals was to organize a Dressage Camp. With much hard work, it was held last summer and was a tremendous success. Jessie had planned to ride Linus in the camp, but unfortunately, that didn’t happen. This did not diminish her enthusiasm for the project – she took on the role of head counselor with great enthusiasm, putting in countless hours to make sure the camp was great for the rest of us. I can only imagine how hard it was for her to stay upbeat, being there without her guy. Similarly, when I got back into seriously competing, Jessie was my chief Cheerleader. Her support did not diminish one iota when she was not showing along side of me. Her selfless attitude throughout this past year epitomizes everything we hope our relationship with equestrian sports represents.

RENEE SHIFFLETT (CHARLOTTESVILLE):
I would like to nominate Renee Shifflett for the 2005 Shel Gafford Award. Renee is a member of the Charlottesville VADA.
Renee teaches, trains, and organizes. She has kindly advised me and helped in any way she could with an interesting variety of horses with their interesting variety of issues, with the expertise, kindness and patience needed to deal with an adult re-rider, who comes with her own interesting issues.
Renee works with handicapped riders and children as well as adults, and has organized several educational clinics. Renee is actively campaigning a young horse and recently started her own youngster.
She brings a deep respect and affection for horses to the sport. She does this all with a sense of humor and understanding while presenting appropriate challenges. Those of us who are fortunate enough to work with her feel lucky indeed.
