“Educational Sunday”…schooling shows…the website….ride-a-tests…adult camp…potluck and tack sale…recognized show…newsletter…musical freestyle seminar…Omnibus…
What do all of these have in common? All are created, organized or managed by, yes, volunteers! From monthly board meetings, to planning events, to staffing shows and clinics, volunteers keep SWVADA up and running. As the definition suggests, volunteers do this not for money, but for the love of dressage in southwest Virginia. While we’re very fortunate to have a strong core of willing workers, there’s always room for more. If you have enjoyed any of the above SWVADA services (or others I’ve failed to mention) please consider volunteering your time and energy to the organization. Volunteer opportunities will be listed on the website, and event managers will be happy to hear from you .

The regular monthly meeting of SWVADA was held on Monday, 16 February 2004 at Wildflour Restaurant in Hollins, VA. President Beckie Mitchell called the meeting to order. Board Members Present: Pam Bennington, Susan Dallas, Gabi Hooten, Megan Irby, Robin Jones, Harriet Keys, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Pat Nelson, Kim Reid, Annette Massey Shaw, Rebecca Splan, Elise Tyminski. Board Members Absent: Gary Goodale. Members/Guests also Present: Ellen Aiken, Sue Cooper, Bobby Dallas, Alyssa Leib, Kelly Pendry, Jeanette Shires.
President’s Report:
Thanks again to Blanche Mahoney and crew for the hard work on the Year End
Celebration.
Secretary’s Report:
Correction to the minutes: Holly Veloso will be secretary for the August schooling show; Rebecca Splan will be manager. Amended minutes approved.
Treasurer’s Report:
Blanche Mahoney revised the year end financial statement to reflect the Dressage Foundation Grant as a donation rather than income for camp. The bottom line of the report remained the same. Also, the board agreed that all expenses (i.e. facility fee, insurance, ribbon cost, prizes, etc. should be recorded on the financial statement for an event. Non-reimbursed expenses should be listed as donations.
Committee Reports
Education/Clinics/Camp:
Laura Nelson is proceeding with plans for a September camp at Fancy Hill. Liz Steacie will not be available at that time, so other instructors will be pursued. It was decided that campers will have to sign up and fees will need to be collected in a fashion similar to a show entry. (Non-refundable after a :closing date" unless spot is filled from a waiting list.) The Freestyle Symposium with Tigger Montague is scheduled for March 27-28 at Chimney Hill Equestrian Center. Saturday’s session will look at quadrilles and pas de deux and Sunday’s session will address matching music to horses. Demo riders are needed and auditors are encouraged. Educational Sunday:
Ellen Aiken and Jeanette Shires reported that everything is in place for Educational Sunday at Virginia Tech on February 29. Nametags will be available for all. VOTED: In case of weather issues, the decision to cancel will be made by Ellen and Jeanette by Saturday night and notification will be made via the website, TV and radio. Discussion followed re: the prospect of remunerating SWVADA members who are presenting at Educational Sunday. The board will try to establish a policy regarding remuneration.
Green Hill Equestrian Park:
Pam Bennington reported an $800 profit from the first “fun show” of the season. The GHEP committee is planning to increase their advertising to make people aware of the facility. Someone may have been found to drag the rings on a semi-regular basis.
Horse Show Committee:
Meeting at Blanche Mahoney’s house on Sunday, February 22 at 1 PM.
Membership:
Pat Nelson reports that we are currently standing at 92 members, including life members.VADA:
Harriet Keys reported on the recent VADA meeting. Amended by-laws were distributed with ballots. Members at the meeting were apprised of the changes and encouraged to return the ballets to Harriet before leaving. Purple Books (State Omnibus), will be mailed to members. Next year, purple books will be available on a "for purchase" basis. SWVADA reps explained our newly initiated Virginia Horse Center Benefit Trophy, other chapters expressed interest in doing something similar. The minutes from the VADA meeting will be posted to the SWVADA website. Next VADA meeting March 20.
Video Library:
Gabi Hooten has ordered several new videos: Up the Levels, Vols. 1 & 2, Building Blocks to Dressage, Vols. 1 & 2, and A Matter of Trust, Vols. 1 & 2. If you have requests for videos to order, please contact Gabi or any Board Member. Contact Gabi if you wish to check out any SWVADA videos.
Old Business
Virginia Horse Center Benefit Trophy:
John Scott, Executive Director of the Horse Center, is thrilled with the new division. A trophy case is being built in the lobby of the coliseum and the SWVADA Virginia Horse Center Benefit Trophy will be on permanent display there.
Omnibus:
Harriet Keys and Rebecca Splan are nearing completion of the Omnibus. It should come out in the next couple of weeks.
Recognized Show:
Jeanette Shires distributed sponsor forms. Please contact her if you would like to sponsor a class or division or advertise in the program. This year’s show will include a Dover Medal class at second level, and a Dressage Foundation class at training level. VOTED to offer the Dressage Foundation class with ribbons from the Foundation (requiring a minimum $200 donation to the Foundation).
Show Fund:
Blanche Mahoney reminded everyone to send her Southern States proof of purchase feed labels,(which are redeemable for cash for SWVADA).
Points/Awards:
VOTED that if a trophy is not returned in acceptable condition, the recipient will be billed for the repair. A label will be placed on the bottom/back of each trophy with a statement to this effect and a “must be returned by” date.
New Business
VOTED to donate the use of a dressage arena to the Virginia Tech Intercollegiate Dressage Show on March 21 with the stipulation that the arena be returned in good condition.

VADA Board Meeting

Harriet Keys (SW), Jessie Giinsburg (Nova). Tina called the meeting to order at 11:20 AM. Old Business: 2. Treasurer’s Report: Catherine Sutton. Show Account: $15,000; Chapter Grant Account: $3200. Expenses to operate the VADA in 2003 were approximately $32,700. Catherine explained that VADA’s treasury is adequate but the yearly expenses of VADA keep growing. Cost containment must be established and spending brought under control. Most of VADA’s income is derived from the Fall show and annual dues of its members. A cost analysis for the VADA BLM and GAIG shows prepared by Catherine was distributed and the increased expenses relating to putting on the shows were discussed. Catherine welcomed Board input for ways to cut costs and find more sponsors. Catherine also noted that VADA subsidizes the Awards Brunch, including paying taxes and tips to keep the ticket price down. Sharon Ackley suggested that the chapters do a better job of letting members know how the luncheon is subsidized and how much it costs to put it on. Catherine will draw up an expense sheet that will show members what it is costing for all the things VADA does. On the plus side, the auction at the Awards Brunch generated $4300 for VADA’s Educational Fund. The costs involved in publishing and distributing the Purple Book were discussed. A motion to charge $5.00 for the Purple Book before publication and $7.50 after publication was made by Tammie Hryczoniuk and seconded by Sandy Rhoades. The motion passed unanimously. Because the Purple Book is specific to VADA chapters and contains rosters and information that people who are not computer literate cannot obtain elsewhere, it was agreed VADA must continue to publish it in hard copy. The $5.00 fee for the Purple Book will start in 2005 and be collected through the chapter membership process if the member chooses to buy one. Beth Jandl moved that the cover photo spot on the Purple Book cover be auctioned at the annual Awards Brunch. The motion was seconded by Sharon Ackley and passed unanimously.
3. 2004 Annual Awards Brunch. Everyone had great praise for the
annual awards brunch. Discussion ensued about location next year.

next year and Tammie H. volunteered to investigate. New Business: |
3: VA Grant for
Freestyles: The Virginia Horse Journal has grants available and it
was proposed by Paddy Patton that VADA go after one to promote
Freestyle. Sharon Ackley moved that the Board give Paddy permission to
look into it and prepare a grant proposal to be presented at the next
meeting. The motion was seconded by Harriet Keys and passed unanimously.
4. VADA Wedsite: The VADressage
website has been moved to a better server. Everyone agreed that chapters
need to keep Randy better informed with more current input to make the
website useful. Tina will work with Randy to put more information on the
website and to update it. Region I now has a website and Randy will link
VADA’s site to that. The Fix-a-Test clinics will not be done
this year because the tests are not changing. 10. 2005 VADA Awards Brunch: The Chair of the 2005 Committee is Tammy Hryczoniuk. She will check the Shenandoah Crossings Restaurant in Gordonsville and price both a sit-down dinner and a buffet for 135 people and determine if the facilities are adequate for VADA‘s purposes. Carter Bass will be in charge of entertainment next year to lighten up the event and Tigger Montague will be the auctioneer once again. 11. Shell Gafford Award: Chairman: Louise West. There have been no nominations for this award since 2001. It was agreed that more publicity about who Shell was and what he did for dressage in Virginia is needed to refresh members’ memories of what the award is about. Tina will prepare information about him and the award which will be distributed to members. Jessie suggested that VADA change the nomination process. Debbie Bowman suggested that each chapter submit a nomination. Nominations are due Sept.15 and should be sent to Louise West. The information page in the Purple Book should be revised next year to be more specific about the award. |
12. George Williams
Clinic: Although the clinic was very costly, approximately $6000, it
was deemed a huge success by those who attended. USDF grant money and
rider fees allayed much of that expense. Jessie Ginsburg suggested that
VADA charge auditors next time which would make people more accountable.
Another clinic will be considered possibly with a different clinician
for 2005. The VHC East Complex should be considered as an alternative
site from Morven Park. Tina will look into cost at VHC. In light of the financial problems of the Virginia Horse Center, SWAVDA will donate one class at each schooling show for the benefit of VHC. A challenge to every chapter to either match their contribution or do as SWVADA is doing to contribute to the VHC was extended by Harriet Keys and SWVADA. Each chapter should encourage its members to write their congressmen about the funding issue. 13. Distribution of the Purple Book.

Great weather, the highest number of attendees ever, lots of help from a great group of volunteers, and excellent presentations made this year's Educational Sunday one of the best ever! Well over 100 people showed up for the event and the feedback was very positive. A varied program seemed to offer something for everyone, and a whole lot of used tack found a new home! Co-Chairs Jeanette Shires and Ellen Aiken would like to extend their sincere thanks to our speakers, to our hosts at VA Tech, to all who helped bring the program together, and to those who came to learn and share their interest in our noble friend the horse.Thank you SWVADA for sponsoring Educational Sunday Also, thank you to the members that made the day so pleasant for those of us attending.

Many thanks to Gary Goodale, chair person for the Horse Show Committee, for organizing and presiding over a very educational Horse Show Committee meeting on Sunday, Feb. 22. Thanks, too, to Blanche (and Tom!) for graciously hosting, not to mention feeding, our crew. I also want to thank all the show managers and secretaries who took time from their busy schedules (on one of the nicest riding days of the year so far) to attend. If energy and enthusiasm are any indication, this show season for SWVADA looks to be one of the best ever!
