SWVADA MINUTES 
Next Meeting: Monday Feb 17, 2003  7:00pm at the Wildflour Restaurant, Hollins VA

  President Pam Bennington called the meeting to order at 7pm on Monday, 20 January 2003. Board Members present: Pam Bennington, Cathy Caspole, Susan Dallas, Karen Davis, Hal DeVuyst, Gary Maupin Goodale, Gabi Hooten, Harriet Keys, Blanche Mahoney, Beckie Mitchell, Pat Nelson; (Absent: Ellen Aiken, Sue Cooper, Robin Jones, Laura Nelson). Also present: Chris DeVuyst, Lynn Jendrowski, Terry Poff.

Minutes of the December 2002 meeting were approved. Copies of the minutes will be sent directly to each Board member from now on.

Treasurer’s Report: Blanche Mahoney
Checking Account Balance: $5,946.22; Savomgs Account Balance: $1048.94.
Discussed having a SWVADA individual web site; decided to remain with present status.

Introductions: We welcomed new member Lynn Jendrowski, who comes to our area from Hawaii.

President’s Report: Pam Bennington
1. The VADA Banquet was a huge success. SWVADA members are urged to attend and meet other members from across the state.
2. Susan Dallas and Harriet Keys organized a gift basket with donations from SWVADA members for the VADA silent auction. Of all the chapter baskets, our basket received the highest bid ($ 112)!

VADA Report: Harriet Keys
1. The Region 1 Omnibus should be out soon. It has been printed.
2. The Board of Directors will be elected at the February 2nd meeting. Emphasis is on electing the best leaders, regardless of chapter affiliation.

Considerations for Increasing Membership and Volunteers:
The ensuing discussion focused on the following:
1. Each chairperson/officer is asked to keep a job log that will help maintain consistency and provide information for those new to a position.
2. Redefine jobs and clarify. Emphasis on the need for more volunteers and how to get others to participate.
3. Consider having a Volunteer Chairperson.
4. Build a data base of jobs and when they need to be done. Have a Job Fair (Cathy Caspole will have at the SWVADA banquet).
5. Discussed possible incentives for volunteers.
6. Give more recognition to volunteers (Use of poster board at shows, etc., recognizing those who help).
7. Identify support (spot) jobs where volunteers are needed.
8. Have events such as potlucks with tack sales, etc. to give members a chance to socialize.
9. Concerted effort to contact new/inactive members.
10. Board asked to bring specific ideas for a summer social to the next meeting.

Adult Camp: Harriet Keys for Laura Nelson
1. Will try to make camp more accessible. Have opening and closing dates. Encourage VADA participation. Tentative dates: September 11-14, 2003.
2. Advertise through VADA.

Clinics:
Sue Rothgeb Clinic to follow our May 24 Recognized Show. Robin Jones/ Laura Nelson to coordinate. Details forthcoming.

New Dressage Tests Seminar: Gary Goodale/Harriet Keys
1. Location: Chimney Hill Farm (Judy Gustafson) on Sunday, 23 March 2003 from 1 to 3 pm with USAE “R” Judge Judy Westenhoefer. No admission fee. Copies of tests provided. Demo riders.
2. Focus will be on new movements for Training, First, and Second Levels.

Educational Sunday: Pam Bennington for Jeanette Shires
1. Most session topics/speakers have been finalized.
2. Topics include: Centered Riding, Veterinarian Updates, Recognizing Good Shoeing, Basic Tools, Ground Driving with possible additional topics.
3. March 2, 2003. Registration begins at 11am. See SWVADA Web Site for additional info.
Green Hill: Harriet Keys for Ellen Aiken
1. Membership packets have been sent. Please join and support GHEP!
2. A web site for the park is being developed.
3. Funding from BRHF, BREA, and SWVADA of $1000 each for a new drag will allow for purchase. Donation of a backup drag has been made.
4. GHEP Board expressed gratitude to Blanche Mahoney for the donation of hoses for watering rings.
5. Anyone interested in attending a Global Positioning System (GPS) Workshop on February 7-8 at Holiday Lake 4-H Center, contact Leslie Prillaman at 540-772-7524. Funding available.
6. Miscellaneous: Ellen has spoken with Anna Alford of TREC. There will be a work shop on running/competing in TREC events at the VA Horse Center on Saturday, February 8. No Charge, fee for lunch. Contact Anna at: 540291-1798. Also, call Anna if you are interested in attending some TREC competitions she is planning.
7. New Green Hill Benefit Show: Need a Manager and an on site Secretary day of show. Committee volunteers: Cathy Caspole, Susan Dallas, Harriet Keys, Annette Shaw. Diane McBroom will secretary.

April 12 Ride a Test: Pam Bennington
1. Still no word on whether VADA will send a Judge for this date.
2. Need volunteers for manager/secretary/scribe-scorer.

SWVADA Annual Banquet: Blanche Mahoney
1. Due to fewer numbers attending this year, Blanche will investigate trimming costs.
2. Discussed possible alternative locations, etc. for next year.

Membership: Pat Nelson
1. To date, 55 paid members.
2. 4 requests for snail mail.

Newsletter:
Thanks to Frances Yeardley for the excellent job she is doing! The web site just keeps getting better!

SWVADA Omnibus: Harriet Keys
1. Deadline for all material and fees is February 1.
2. All show managers have been reminded of deadline.

Public Relations: Karen Davis
1. Will send out information re: Educational Sunday.
2. Will contact VA Horse Journal to include our calendar.

Video Library: Hal DeVuyst
1. Will sell the unused videos at Educational Sunday for $5 each.
2. Reviewed list of what to sell.

New Position: Pam Bennington
1. A Social Secretary will contact members with cards of thanks, condolences, etc. to better keep in touch with our membership.
2. Sharon Cargill has graciously volunteered to serve in this position.

Miscellaneous:
Request made to make sure our members are aware of the new rule re: Recognized Shows. All horses must now have a HID number. Will ask that info be put in newsletter.
The meeting then adjourned.

Know before you show

HID (Horse Identification Numbers)

  • In order to compete at a USDF/USAEq recognized competition, a horse must have either USDF lifetime registration or a USDF horse identification number (HID).

  • If a competitor arrives at the competition without either of these, they must submit an application and payment for an HID or a lifetime registration for your horse before their will be permitted to compete.

  • Effective immediately, applying for a USDF lifetime horse registration at the competition will render a competitor eligible to compete in ABIC/USDF qualifying classes.

  • Those planning to qualify for the ABIC/USDF Regional Championships must have applied for USDF lifetime horse registration before the competition or they must submit an application to the show secretary at the competition prior to riding in a qualifying class.

  • If a competitor applies directly to USDF and does not receive the lifetime horse registration number from USDF before the competition, they must complete a USDF affidavit of lifetime horse registration or present a letter of verification from USDF of their horse's lifetime registration.

  • In order to compete for USDF year-end awards, in ABIC/USDF Regional Dressage Championship qualifying classes, or Cosequin/USDF Breeders Championship Series Finals, a horse must be lifetime registered with USDF. Holding only an HID merely allows entry to classes that are not restricted to USDF lifetime-registered horses. If a horse is already USDF lifetime-registered, it does not also need an HID.

If you look in the purple book of 2002 you will notice that we added a Business Directory and would like to continue that.
The Purple Book is one resource that all VADA members seem to hang on to!
So for farms, instructors, trainers, breeding operations, etc the Business Directory is a great place to advertise because it's not just a one month ad ----the Purple Book is a year round resource! And the more business
listings we have the more "valuable" the Purple Book becomes to our members.

1 gate, 1 warm up area, 2 timers, 8 cone setters, 1 or 2 to handle awards

The above is the minimum number needed. In addition, at least 1 hospitality person to distribute drinks and lunches to the volunteers is needed daily and 2 on marathon day with ATV or golf cart.

Volunteers will also be needed earlier in the week like Wednesday, to decorate hazards. Sunday, we need help taking down course markers, etc.
