Giving Thanks...
 
As the SWVADA year draws to a close, I want to offer a humongous "THANKS!" to the many people who have worked so hard this year to make it such a successful one.  Each one of these people - the Board of Directors, the show managers and secretaries, the clinic/event coordinators, the Educational Sunday planners, the SWVADA Camp director, and the hoards of workers that assist these people  - they're all VOLUNTEERS!  Each and every one is fulfilling a vital job without which none of the above would happen. At the risk of leaving out someone, I'd like to offer special recognition to a few people - beginning with this year's SWVADA Board.  In addition to attending monthly planning meetings, many took on additional responsibilities.  Pat Nelson, the Vice President, also secretaried both a schooling show and the recognized show and was the membership chairman. Gary Goodale, the Secretary, was responsible for keeping the minutes of each meeting and chairs the Long Range Planning Committee. Blanche Mahoney, the Treasurer, is also our "hospitality queen" and equipment manager and even found time to manage the July show - to name just a few of the things she does for SWVADA.  Kim Reid and Elise Tyminski, newcomers to the Board, brought a fresh perspective and enthusiasm to our meetings. Sue Cooper volunteered her services as the Round Robin clinician representing SWVADA. Annette Massey-Shaw coordinated several educational events as well as organized the member survey. Robin Jones offered her unique artistic talent to make posters and decorations for SWVADA as well as secretaried the July show. Pam Bennington managed the fun and successful October show and represented SWVADA on the GHPEC committee. Susan Dallas secretaried the October show and, along with Harriet Keys, represented SWVADA at the almost monthly VADA meetings in Charlottesville.  Gabriele Hooten keeps up with the video library and is always on the lookout for new material to add.  Megan Irby managed one of the successful "ride a tests" early in the season. Harriet Keys, in addition to managing the April show, worked with Rebecca Splan on the Omnibus and other promotional material for SWVADA. Rebecca also worked with Holly Veloso to put on the August show.  Laura Nelson organized the very successful Adult Camp experience as well as the freestyle symposium with Tigger Montague and "Up the Levels" with Judy Westenhoefer.  We were also fortunate to have some people who weren't on the Board step up and fill some important jobs: Jeanette Shires and Ellen Aiken coordinate the outstanding Educational Sunday program; Ellen also serves as Points Chairman and Jeanette managed the recognized show; Becky Cairns orders and organizes all the ribbons for the year and makes sure the trophies gleam at the year end celebration; and Frances Yeardley creates for us an outstanding website and a terrific monthly newsletter.
 
I'm sure I've missed some people and for that I apologize while offering my sincere thanks.  While it looks like a big list, these are just a few of the jobs these people do for SWVADA and these are just a few of the people who have volunteered their time to the organization.  Behind these people are many, many more - and we thank you.  Without you, SWVADA wouldn't be able to offer the shows, events and services that the members enjoy.  As the new year approaches, I hope you will consider volunteering your services - together we can make 2005 even better!

The regular monthly meeting of SWVADA was held on Monday, 15 November 2004 at the Wildflour Restaurant in Hollins, VA. President Beckie Mitchell called the meeting to order. Board Members Present: Pam Bennington, Sue Cooper, Susan Dallas, Gary Goodale, Harriet Keys, Robin Jones, Blanche Mahoney, Beckie Mitchell, Laura Nelson, Pat Nelson, Kim Reid, Annette Massey Shaw, Rebecca Splan. BUSINESS/REPORTS

2. Schooling Show scores should be final unless there are corrections.

4. Volunteer forms are becoming an issue. Will discuss at later date.

Clincs/Camp:Annette Massey Shaw/Laura Nelson
1. Laura reported on the Moving Up the Levels seminar. She commented on the good presentation, the nice riders, and the enthusiasm of the spectators. VA Tech sent a number of students and we were happy to have them attend. Thanks to Judy Westenhoefer for sharing her expertise, and thanks to Chimney Hill Farm for the use of the indoor arena. The funds for this event were provided by VADA grant money.
2. Adult Camp: The Board asked Laura to proceed with plans for an Adult Camp for 2005.
3. Clinic with Debbie Bowman: Annette Massey Shaw reported on the plans for the clinic to be held at Chimney Hill Farm on Saturday, 27 November. The rides are scheduled from 8:30 AM to 4:45 PM. Auditors welcome! Beckie will send a mass email with schedule of riders. Funding for this event is provided by VADA grant money.

Green Hill: Pam Bennington
1. A much improved new sign is now in place at the entrance to GH.
2. The GH Fun Show netted around $1600 and had 350 rides!
3. Membership will remain at $25 UNTIL the end of the year, then will be $30.
4. A meeting to brainstorm re: the stabling issue is being planned. Those interested in attending should contact Pam.

Hospitality: Blanche Mahoney
1. Discussed some plans re: the Annual Banquet. Blanche will investigate the possibility of having music. Would like to encourage more people to attend.
2. Blanche suggested buying a crock pot for use at various functions. Thanks to Rebecca Splan for her donation of one.

Long Range Planning Committee: Gary Goodale
1. The committee met on Thursday, 4 November at the Roanoke County Hollins Branch Library. Meeting was devoted to a review of finances for 2003.
2. The review revealed that most of SWVADA’s budget is devoted to educational activities (which is our primary goal). A small profit of less than $600 was shown for the year..
3. Plans are to complete a review of finances for the past 3 years in order to consider long range goals,etc.
4. LRPC will meet next on Tuesday, 30 November at 6:30 PM (at the Hollins Branch Library).

Membership: Pat Nelson
1. Dues are coming in. Reminder: The 2005 Calendar Year begins December 1!
2. Reminder: As of December 1, the email mass mailing will include ONLY THOSE WHOSE DUES HAVE BEEN PAID FOR 2005.
Recognized Show: Jeanette Shires/Rebecca Splan
1. Discussed classes to be offered. No FEI classes this year.
2. Recognized Show Committee will meet in January.
3. Suggestions for possible judges given.

Educational Sunday: Jeanette Shires
1. Discussed a number of possible topics. Will depend in part on availability of speakers.
2. Discussed methods of organizing the day.

VADA: Susan Dallas/Harriet Keys
1. Reviewed the BLM show. Approximately $6000 profit made.
2. The Celebrity Freestyle donated $15,000 to the Christopher Reeves Foundation.
3. The VADA Annual Banquet will be held on 23 January 2005 in Ashland, VA.

4. The GAG’s will be hosted by VADA in 2005.
5. BLM’s need more class sponsorships. Ideas to increase will be welcomed.
6. The Purple Book will be later this year- February 1.
7. Reminder: Be sure to vote for your choice for the Shel Gafford Award.
8. SWVADA Board VOTED to approve the choices made by our VADA reps for the nominees for Region 1 Awards.
9. Susan and Pam have started the SWVADA basket to be donated for the VADA banquet. Theme: “Southwest Cowgirls.” VOTED to give $100 to help fund the basket. Donations of theme items can be brought to the December Board Meeting.

OLD BUSINESS
1. Thanks to Rebecca Splan and Jeanette Shires for heading up the 2005 Recognized Show. As per Board approval, their memberships in USET and USDF will be paid by SWVADA. (Membership is mandatory for recognized show managers/secretaries.)
2. October Schooling Show: Susan Dallas and Pam Bennington gave an overview of the show. Approximately $435 profit made. Thanks to Susan and Bobby Dallas for donations of a saddle pad and mugs. Pam reported that she did have a hard time getting volunteers. Discussed some possible incentives for encouraging volunteers. Thanks to Susan and Pam for their great effort for the “Halloween” Oct. Show!
3. Thanks to the following for volunteering for the October show:Ellen Aiken, Cathy Caspole, Gary Goodale, Harriet Keys, Blanche Mahoney, Mary and Ed, Stephanie Till, Robin Jones, Steve Bennington.

MISCELLANEOUS
1. Beckie Mitchell commented on how organized SWVADA is. Thanks to all who contribute to making SWVADA a great organization.
2. Thanks to Harriet Keys for producing the snail mail newsletter. Great job, Harriet!
3. Robin Jones will send out DIRECTIONS to Famous Anthony’s, site of the December meeting.
4. Robin Jones was directed to order 25 of the “Dressage Today” calendars to be sold for $12 each. Will order more if needed.
5. Annette Massey Shaw reported that she has had a good response to the SWVADA member survey. She will present the results to the Board when compiled and the Board will then review and act on.
6. Pat Nelson will put up a SWVADA information booth for the Tri County Forum.
7. Suggestion made that the SWVADA calendar include closing dates for events.
8. Suggestion made to put reminder of upcoming shows in show packets.
9. The show entry form needs to be updated. Also need to update the Manager’s Check List.
10. For December meeting: Need to get managers/secretaries of shows and the nominee for the VADA volunteer award in place.
11. Suggestions made re: holding more social activities for members.

VADA BOARD MEETING
NOVEMBER 14, 2004


Members Present: Bettina Longaker (CH), Jane Palmer (Shen), Leslie Sebers (Shen), Beth Rippel (SV), Diane Vance (SV), Susan Dallas (SW), Harriet Keys (SW), Beth Jandl (CH), Sharon Ackley (FR), Tammy Hryczaniuk (FR), Robin Dannels (NOVA), Jessie Ginsburg (NOVA), Dianne Boyd (NOVA).

Minutes of Sept. 26 meeting were approved.
Dianne Boyd, Show Manager, presented a summary of the BLM Championships held Oct. 21-24, 2004 at the Virginia Horse Center, Lexington, VA. There were 1100 rides scheduled and 800 plus actually ridden. She considered it an excellent show with good weather and great competition. The Board expressed appreciation of Dianne for her handling of the show and sponsors and congratulated her for carrying off such a great event. Dianne has had good feedback from participants and spectators. Financially, about $6,000 was cleared.
Beth Jandl reported a total of $14,840 in sponsorship money, including the raffle money for the saddle donated by Passier and the magnetic blanket. Suggestions were made to promote the sale of raffle tickets and improve communications with various people, including the announcers and vendors.
Publication of the program and coordination with sponsorships was rehashed as well as the need to establish a hard date for cutting off publication for the program for sponsors. Dianne stressed that VADA is getting a very good reputation within the Region for putting on a great show, which is a great credit to everyone involved.
Sponsor participation from Chapters was down this year. VADA needs to get chapters involved and to buy into the sponsorships and promote more sponsorships within the chapter. Various suggestions for promoting sponsorships within the chapters were made, including adding a line to the membership form asking if they want to offer a sponsorship for the fall VADA show, inclusion of sponsorship information in the Virginia Horse Journal dressage article, making a bulk mailing in early summer to all VADA members with sponsorship and ad information, and sending out a press release in June to all the various horse publications. An ad in the 2005 Omnibus will be purchased before the Nov. 30 deadline.
Stabling for the 2005 GAIGs will be increased to $125.00, Wed. thro Sat. night. This amount includes 2 bags of shavings and no mucking. The office fee for the competitor will be increased $5.00 from $20.00 to $25.00.
In the Oct. 20-23, 2005 GAIG Championships, the VADA five and six year-old championship classes will be discontinued, the Jr/YRs will have their own championship classes, and there will be Dressage Seat Equitation.

Team Championships: Jessie Ginsburg reported on the Oct. 30-31, 2004 Adult Team Challenge. VADA paid $2400 in entry fees for the VADA teams. Next year’s competition will again be at Morven Park, possibly with new management. Awards will be simplified. Jessie volunteered to handle entries and setting up teams next year. She moved that VADA sponsor up to 7 teams for next year. Beth Jandl seconded. Passed unanimously. Jessie will update the information for the 2005 Purple Book.

Celebrity Freestyle: Fifteen thousand dollars was donated to the Christopher Reeve Foundation this year, which was up $5,000 from last year‘s donation.

The annual VADA Awards Luncheon will be January 23, 2005, 11:00 a.m. at Virginia Crossings Resort, Ashland, VA. Send reservations to Beth Rippel. A special room rate will be available for those who wish to spend the night. The VADA website has a reservation form. Chapters are again asked to donate baskets and items for the silent auction. The VADA Year End Award Report and the completed awards packet must be received by Beth Rippel by Dec. 1, 2004 to be eligible for any awards. The form and instructions are printed in the Purple Book. The VADA Volunteer Incentive Program (VIP) award forms are due November 30. The forms should be sent to Debra O’Bier, P.O. Box 247, Wicomico Church, VA 22579. This information can also be found in the Purple Book.

2004 Shel Gafford Memorial Award: The information has been sent to all of the Chapters who are responsible for collecting and tallying the votes of their members and reporting those totals to Lwest101@aol.com by Jan. 5, 2005.

2004 USDF Convention, Nov. 30 - Dec. 3: Bettina Longaker, Beth Rippel, and Beth Jandl from the VADA Board will attend. Allison Head is again running for Region 1 Rep. Plans were discussed to have another George Williams clinic in 2005. It would not be totally free this time. Jessie Ginsburg made a motion to host a clinic next November or December at Morven Park. Seconded by Leslie Sebers. Passed unanimously. Paddy Patton has volunteered to be over-all manager.

2004 USDF National Symposium, Dec. 4-5: The Symposium will be held right after the convention and Tina and Beth will attend.

2005 Purple Book: Robin Dannels will again publish the Purple Book. The deadline for information will be extended to Feb. 1, 2005 in order to include the raffle of the cover at the annual banquet. Chapter election information is also due to Robin by Feb. 1 or earlier if possible. Robin also requested that each chapter come up with at least 2 listing or business card ads to help defray cost of publishing. The cover will be auctioned at the Awards luncheon. That photo will also be due Feb. 1. The back inside and outside cover are also available for sale.

VA Horse Industry Legislative Reception, Jan. 20, 2005, in Richmond: Rumors about the future of the Virginia Horse Center are still circulating and Tina called for volunteers to go to the VA Horse Industry reception and make their presence known to the legislators. Sherrie Boye and Allison Head are expected to go. A donation of $100.00 is requested. Sharon Ackley moved that VADA donate $100.00. Harriet Keys seconded. Passed unanimously.

2005 Schedule, Meetings, Shows, Clinics: The VADA Board will hold a brief meeting on Jan. 23 before the Awards Luncheon. A slate of officers for 2005 will be presented at that meeting.

2005 Omnibus: The deadline to include information in the Omnibus is Nov. 30. To obtain next year‘s copy, send $10.00 to Alison Head. There is an order form in the Purple Book.
