Letter to the Editor
Dear SWVADA,
 
I would like to express my deep appreciation for such a fabulous Educational Sunday. Those in charge and who helped make it happen deserve a large pat on the back, if not a real rubdown! It seemed like the biggest crowd ever, and everyone was very enthusiastic. I attended every session and enjoyed each one thoroughly. I learned a lot and was entertained. And I was so comfortable all day thanks to the wonderful facility (thank you so much, T!) and all the food available. I know putting on something like this is a huge effort, and I want to express my thanks. SWVADA should be very proud of what it is able to do with Educational Sunday each year. Someone ought to write an article for Dressage Today about what is done as other clubs would probably like to emulate SWVADA.

The regular monthly meeting of SWVADA was held on Monday, 21 March 2005 at the Wildflour Restaurant in Hollins, VA. President Beckie Mitchell called the meeting to order. BOARD MEMBERS PRESENT: Pam Bennington, Susan Dallas, Gary Goodale, Gabi Hooten, Robin Jones, Blanche Mahoney, Beckie Mitchell, Pat Nelson, Annette Massey Shaw, Jeanette Shires, Rebecca Splan. BOARD MEMBERS ABSENT: Sue Cooper, Susan MacIssac, Laura Nelson, Kim Reid. MEMBERS/GUESTS ALSO PRESENT: Ellen Aiken.

1. Expressed thanks to Ellen Aiken, Jeanette Shires and all Volunteers who made Educational Sunday such a resounding success.

April 9 Ride a Test: Annette Massey Shaw
1. Openings still available.
2. Discussed various aspects of funding Ride a Test Clinics and factors affecting attendance.
3. VOTED: Fees for the June 11 Ride a Test will be: $30 per test Members/ $35 Non Members; $20 Ride Only Members/ $25 Non Members.
4. Annette will order test sets if needed.

Educational Sunday: Ellen Aiken/ Jeanette Shires
1. Thanks to BREA for offer of a speaker for next year.
2. Discussed possibly linking event with the annual IDA show.
3. Board expressed willingness to work with Tech and this proposal       would also serve to promote dressage on the collegiate level.
4. The 2005 Educational Sunday came in just below budget.
5. Ellen gave an overview of responses to the questionnaire. All indications are that we are definitely on track with our Educational Sunday program.

Green Hill Park: Pam Bennington
1. Looking for bids for stabling. Are trying for a matching funds program.
2. Work on the new road is progressing.
3. July 23 there will be a one day show for gaited/racking horses.
4. SWVADA needs to decide how it will handle use of stabling facilities, which should be in place by July. Decided to delay discussion until the fees for use have been set by Green Hill.
5. Discussed placement of materials in our trailer and how to better utilize space.

Long Range Planning Committee: Annette Massey Shaw
1. Materials from prior meetings have been given to Annette, who will review and determine next meeting, etc.
2. Discussed various possibilities for LRPC to consider.

Membership: Pat Nelson
1. Members to date: 113
2. Request made that Life Members be included in the Omnibus Listing as they are Life members of SWVADA whether they choose to join VADA/USDF or not.

Public Relations: Beckie Mitchell (for Pat Bevan)
1. Has developed poster for use in public places such as feed stores, tack stores, etc.
2. Will ask Pat to develop further the SWVADA brochure to be used as an informational pamphlet to include history, etc.
3. Will ask Pat to help with contacting businesses for support/donations to camp.

VADA: Susan Dallas/ Robin Jones
1. Distribution of VADA Purple Books discussed. Looked at various options as mailing is very expensive. VOTED: To mail Purple Books and the SWVADA Omnibus this year. Will continue to look at options for future years.
2. Discussed fate of the SWVADA Omnibus. Is it really necessary if the VADA Purple Book carries the information re: show dates, prize lists, contacts? A less expensive mailing of just SWVADA programs, awards,etc. might be an option.
3. VADA has some financial questions re: the Celebrity Freestyle Show. The show has become quite a large undertaking and may become an independent event unrelated to VADA.
4. Asking chapters to consider how to best use VADA funds. Need input on whether Round Robin Clinics, Fix a Tests, etc. are popular or whether other options should be explored.
5. More auction items are needed in order to continue funding of Chapter Grant Money. SWVADA endorsed idea of our reps bidding on clinicians at the auction for SWVADA clinics in the future. (Many Thanks to Harriet Peterson for donation a day of Judging and to Tammy Nichols for donating a day of serving as Technical Delegate.) Discussed ways to encourage more participation in support of auction.
6. SWVADA decided to recognize at our annual banquet those SWVADA members who receive VADA Year End Awards.

APRIL 23 Schooling Show: Pam Bennington/Susan Dallas
1. NEED VOLUNTEERS!
2. Pat Nelson will send to Pam a list of members who have signed up to volunteer for events.
3. CONTACT Pam or Susan if you can help with this show!

NEW BUSINESS

1. Established Budget Committee. Volunteering to serve: Gary Goodale, Beckie Mitchell, Rebecca Splan.
2. Re: Clinics: Annette Massey Shaw suggested exploring possibility of having a single big name clinician and drawing participants from other areas. Matter referred to Long Range Planning Committee.
3. Need to establish standard re: electronic advertisements, email, website. After consideration, will determine next month what policy should be. Did decide that only horse related items will be considered and that mass emailings will be for SWVADA events only.
4. Legislative Trail Ride: VOTED to donate $50 toward this activity.
5. Discussed ideas for fund raising. Robin Jones will develop a logo for shirts; Blanche Mahoney will investigate bumper stickers.

VADA Board Meeting
March 20, 2005

Members Present: Bettina Longaker (CH), Sherri Booye (CH), Debbie Bowman (VADAF), Beth Rippel (SVDA), Susan Dallas (SW), Robin Jones (SW), Cheryl Painter (NE), Jessie Ginsburg (Nova), Dianne Boyd (Nova), Jane Palmer (ShenVADA), Angela Stanaway (NE), Anne Draine (NE).

The meeting was called to order by President Bettina Longaker at 11:10 a.m. Tina welcomed new and returning members to the Board. The minutes of the Board meeting held at the annual awards brunch in Feb. were read and approved as corrected.

Jessie Ginsberg gave a financial wrapup of the annual awards brunch. The silent auction grossed $3275.50 and netted $3006.45, which will go into the chapter grants program. That amount does not include the $450.00 auction of the Purple Book cover, which will be used to defray Purple Book costs. The balance in the Chapter Grants account is $6649.19. There is a balance in the Show Account of approximately $16,000.00. Rental of the banquet hall cost $2693.00. With 92 in attendance at $26.00 per person, there was a loss of $255.00. Checks were distributed to the chapters for the 10% share of their contribution to the silent auction.

Jessie expressed special thanks to Robin Dannels for her efforts to publish the Purple Book on time. The Purple Bood was distributed to the Board members to take back to their chapters for distribution.

Tina stressed importance of advertising for the Purple Book. Discussion ensued on the importance of chapters supporting VADA financially. VADA is the second largest GMO in Region 1 and needs the support of its chapters in order to remain competitive with other GMOs in bidding on the championships. The bottom line is that the chapters need to be involved and supportive of VADA functions.
The VIP program will be revised in 2005 with regard to prizes as set forth in the Purple Book.

Jessie explained the Quik Books process and the benefits of using the online service. This will greatly facilitate the financial aspects of VADA. VADA is a 501(c) entity and has been since 1984.

Awards Brunch: Beth Rippel will again be the contact and handle arrangements for the annual awards brunch. Debbie Bowman will help with tracking contributions for the silent auction. Chapters were encouraged to plan early and provide more items for the silent auction so that the educational grant program can remain viable.

Celebrity Freestyle: The issue of stalls was discussed as well as the costs and complexity of the entire event as it relates to the IRS. The VADA underwrites the event and needs full financial accounting for IRS purposes

Dianne Boyd reported on the management of the 2005 GAIGs, the Region I championships to be held in Lexington in October. Of most importance are the open class sponsors and sponsor packets and ways to handle the sponsorship whether on an individual basis or on a group class basis. Dianne suggested using the raffles as a volunteer opportunity. She requested that the Board come up with additional fund-raising ideas to be discussed at the next Board meeting. Diane also requested that vendors be offered access to VADA’s volunteer lunches for a price that would have to be paid in advance.

Sharon Ackley will again handle the awards, trophies and ribbons. The chapters will be asked to contribute $45.00 to sponsor breakfast in the barns on Friday, Saturday, and Sunday. Robin Dannels will produce the show program and Alison Head will handle stable management.
Sherri Booye stressed the importance of supporting the Virginia Horse Center and urged individuals to write their legislators in support of the horse industry. The Board agreed prior to the meeting in an E-mail vote to give $100 to sponsor the legislative trail ride sponsored by the Virginia Horse Council.

USDF Capital Campaign: USDF is urging participation of the GMOs in support of the campaign. There was discussion of possible ways that VADA can come up with a proposal to raise money in 2006 in conjunction with a show and/or a wine festival. Another suggestion is to have a horse sale ride on Friday night of the GAIGs. Entrants would pay $150.00. Debbie Bowman will look into the aspects of this and report at the next meeting. The ‘sale ride’ could be highly advertised in the VHJ and in chapter newsletter classified, hopefully attracting a large audience.

Tina is looking for volunteers for the NARYC championships at Lexington the last week in July.
Round Robin Clinics: In light of the difficulty of scheduling the Round Robin clinics in the past, the Board agreed to go back to their chapters for suggestions in changing the format and to come up with new more creative ideas. It was agreed that the clinics have been very successful and that VADA should continue to support the program or something similar.

Dianne reported on the VHIB grant received for advertising of the freestyles at the BLMs.

The Board agreed on the following meeting dates for the rest of the year:

Sherri reminded that all chapters need to make sure the chapter by-laws are in sync with the state by-laws.
